Job Overview
We are seeking a detail-oriented and organized Administrative Medical Assistant to join our healthcare team. This role is crucial in ensuring the smooth operation of our medical facility, providing administrative support in a fast-paced environment. Under the direct supervision of the of the Clinic Supervisor and the clinical guidance of the Director of Clinic Nursing Services, and within established policies and procedures, the incumbent performs the following functions as delegated by the GIC Providers:
Responsibilities
- Answers and returns phone calls from patients about plan of care as established by the provider, procedure preps and discharge instructions, test results and medication refills, within 24 business hours of receiving call. Fields phone calls regarding new and on-going health concerns of the patient, and completes the link for communication between the provider and the patient. Requests guidance from Clinic Supervisor when necessary. Documents all patient interactions in Electronic Medical Record (EMR).
- Provides patient and family education in regards to medications, treatments, procedures, preparations, and issues of health maintenance under the direct supervision of the providers.
- Responsible for the efficient flow of patients through the clinic. Coordinates with front office staff and provider, if needed, to determine flow for late arrival patients. Requests guidance from Clinic Supervisor when necessary.
- Assists patients with completing medical history questionnaires when assistance is needed.
- Rooms patients according to schedule. Accurately enters medications, vital signs, pharmacy of choice, allergies, and directives into the patient’s EMR chart.
- Maintains the skills necessary to obtain accurate vital signs (blood pressure, temperature, pulse, and respirations). Obtains accurate measurement of patient’s height and weight.
- Discharges patients. Provides necessary patient education in regard to prep instruction. Ensures patient leaves office with appropriate laboratory requisitions and prescriptions as ordered by provider. Prints summary and gives to patient prior to patient leaving office.
- Provides sample medications to patients as directed by provider. Documents samples in chart
- Assists physician with limited procedures as requested.
- Works with providers to complete prior authorization of medications, FMLA paperwork, durable medical equipment paperwork, and patient assistance.
- Arranges patient testing, hospital admissions, referrals, infusions, phlebotomies, and/or studies as directed by the provider.
- After appropriate training and satisfactory completion of competency, performs patient testing in clinic, which may include, but not limited to Fecal Immunochemical Test, Hydrogen Breath Tests, H. pylori Urea Breath Test, Given Capsule Endoscopy and SmartPill.
- Produces daily reports. Sends letters to patients and faxes results/reports to outside provider as indicated.
- Preload patients’ charts in EMR after patients complete patient link online.
- Maintains clean exam rooms. Ensures that exam rooms are clean in between patients. Performs weekly terminal clean of all exam rooms.
- Maintains well-stocked exam rooms. Maintains an inventory of clinic supplies. Identifies when supply order is needed and produces list of needed supplies for Clinic Supervisor.
- Maintains sample supply cabinet. Disposes of expired medications. Contacts sample drug representative when more samples are needed.
- Performs cleaning of testing supplies used in the clinic. Accurately documents the cleaning of these supplies.
- Follows up with patients who have not completed labs. Contacts patients by letter and telephone to ensure tests are completed (per clinic workflows). Documents patient interactions in EMR.
- Navigates Electronic Medical Record, Patient Portal, and email.
- Works with the Medical Records Department to ensure records are imported into the EMR chart.
- Sends and retrieves patient information as necessary.
- Assists in the training and orientation of new staff.
- Works in conjunction with fellow clinic staff to ensure that optimal patient care and customer service is maintained.
- Assist in the achievement of meeting our standards for excellence in patient care and customer service.
- Adheres to corporate confidentiality requirements. Does not disclose private or protected health information unless required to do so in an official capacity and/or job function. Adheres to all HIPAA regulations.
- Adheres to all Corporate Policies and Procedures.
- Follows and adheres to the Employee Code of Conduct.
- Participates in required meetings. Communicates concerns to supervisor.
- Organizes time efficiently to optimize clinic efficiencies.
- Maintains an identifiable work area that is neat, clean, and organized.
- Works with Clinic Supervisor to identify and implement process improvements as needed.
- Performs all other duties assigned.
