This position involves managing day-to-day operations, leading the planning and execution of curricular and extracurricular events and enhancing the overall student experience. The coordinator serves as a knowledgeable point of contact for international and domestic students, providing essential administrative support to the Dean’s Office. Administrative Support
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage and maintain accurate records, documentation and procedures for the Dean’s Office.
- Prepare and distribute correspondence, reports and other documents as needed.
- Coordinate meetings and schedules for Student Services and the Dean’s Office.
- Handle inquiries and provide information to students, staff and external parties.
- Manage shared inboxes.
- Maintain and distribute student emergency roster; upload student photos and enter student parking permit information into student database system.
- Conduct general office duties such as photocopying, scanning, distributing mail, receiving phone calls, ordering department supplies and scheduling equipment maintenance.
- Post charges to students’ accounts for miscellaneous items.
- Maintain master schedule and other tracking tools in support of departmental goals and objectives.
- Oversee the creation, scheduling and dissemination of announcements for events and important information on student platforms and digital bulletin boards (TVs) across campus.
- Other duties as assigned.
- Provide excellent customer service as the first point of contact for students, including assisting with questions, distributing stone sets for Online Education students and providing assistance with equipment orders from GIA’s online store.
- Provide support and resources to students to help them navigate academic and personal challenges.
- Assist in the implementation of programs and initiatives aimed at improving the student experience.
- Plan, organize and execute events for students and staff, including orientations, graduations, social events and staff seminars.
- Collaborate with various departments and external vendors to ensure successful event execution.
- Manage event logistics, including event space booking, floor plans, catering and equipment setup.
- Promote events through various channels to ensure maximum participation.
- Create and track budgets for events.
- Create and manage purchase orders.
- Proficiency in Microsoft Office Suite and other relevant software (i.e. Canva, Cvent).
- Excellent grammar, written and verbal communication skills.
- Strong time-management and customer service skills.
- Attention to detail and keen organizational skills; strong proofreading and editing abilities.
- Demonstrated ability to handle confidential and time-sensitive material.
- Willingness and ability to become familiar with the Institute's programs and courses.
- Strong team player, able to engage with a variety of personalities to establish and maintain effective working relationships and to draw on each other's expertise.
- Ability to maintain and foster sensitivity and respect for a culturally diverse work environment.

- High school diploma or equivalent. Associate’s degree preferred.
- Minimum of 2 years of experience in an administrative or event planning role.
- Experience working in a higher education setting preferred, not required.
- Working knowledge of Jenzabar, Salesforce and Workday is preferred, not required.
- Familiarity with event management software.
- Work is performed in a designated professional office workstation and environment.
- Extensive use of office equipment to include computer, calculator, copier, and other business-related machines and software.
