Day to day responsibilities include assisting with all tenant and vendor relations, maintaining insurance compliance, interacting with property and asset management, verifying lease administration, and assisting with financial reports and tenant correspondence
Responsibilities
- Work closely with the property manager, asset management, leasing, marketing and accounting teams to provide the highest level of service to our tenants.
- Ensure that all GID policies and procedures are implemented and adhered to.
- Assist property manager with vendor and tenant relations, communication, and correspondence.
- Work with property managers to resolve property related issues.
- Answer the office phone and assist callers, as needed.
- Assist with processing, qualifying, establishing, and maintaining vendor relationships and contracts.
- Assist property managers with the preparation and completion of monthly reports, annual and capital budgets, reforecasts, and annual expense recovery estimates and reconciliations.
- Prepare timely and accurate property variance reports with meaningly data and explanation.
- Collect, organize, and maintain all tenant and vendor certificates of insurance ensuring lease and contract limit compliance and expiration.
- Receive work order requests and coordinate tasks with building engineers.
- Schedule tenant move ins/move outs, as required.
- Assist property management team with rent collections, as needed.
- Work with Property Managers to facilitate asset management, accounting, leasing, marketing, and construction needs.
- Assist property manager with accounts payable and payment processing, including coding.
- Set up property and vacancy utility accounts, as needed.
- Collaborate with property manager to establish proper tenant contacts for lease administration, facility and survey contact, and real estate decision making contact.
- Assist with formulating and maintaining building inspection needs such as fire, electrical infrared scans, etc. as needed.
- Other assigned duties, as needed.
- Bachelor’s degree (BA/BS) from an accredited four-year college or university, and a minimum of five years property management experience.
- Detail-oriented assistant with ability to effectively multitask.
- Strong written and oral communication skills, with the ability to foster strong relationships with tenants and GID team.
- Computer proficiency in MS Office (Excel, Word, Outlook, TEAMS).
- Experience with Yardi Elevate preferred.
