Overview

Gift of Hope is proud to serve as the federally designated not-for-profit organ procurement organization (OPO) that coordinates organ and tissue donation and provides compassionate service to families of donors in the northern three-quarters of Illinois and northwest Indiana.

 

Since our inception in 1986, we have coordinated donations that have saved the lives of more than 23,000 organ transplant recipients, and improved the lives of hundreds of thousands of tissue transplant recipients. As one of 58 organ procurement organizations that make up the nation’s organ donation system, we work with 183 hospitals in our donation service area.

 

Summary

Creates and coordinates communications and materials aligned with established policy and processes, and provides reporting and administrative support for Operations leadership and management.

The Salary range for this position is $62,766-$70,612

Responsibilities

Essential Functions

The following essential functions are the basic job duties that an employee must be able to perform, with or without reasonable accommodation.

  • Advance Gift of Hope's mission, vision and core values: providing compassionate service, contributing outstanding teams and engaging as one of our passionate people committed to a positive culture that embraces diversity, equity, inclusion and belonging. Adhere to all policies and procedures in carrying out the responsibilities of this position.
  • Work closely with Operations leadership/managers as assigned to:
    • Prepare and/or proof flyers, documents and PowerPoint presentations for in-house and off-site meetings and special events; coordinate presentation materials, reports, informational packets and handouts.
    • Schedule meetings for assigned departments, prepare and distribute meeting agendas, prepare other meeting materials, set up AV equipment and manage logistics as needed, and take and distribute meeting minutes
    • Manage requirements for in-person and online major events, presentations and webinars including work as assigned with teams to manage registrations, create evaluations, create and distribute CEU certificates; compile, prepare and upload video clips for Zoom and Teams; create agenda and supporting materials (handouts, PowerPoint presentations, name badges, sign-in sheets, etc.), procure venues, select menus and coordinate all required logistics.
    • Maintain calendars and schedules
    • Coordinate and run Teams meetings
    • Manage, upload and create for review as needed various controlled documents and resources to organizational platforms including Sharepoint/Teams, Google Drive, the employee intranet and CRM/e-marketing tools. Responsible for controlled documents for assigned departments; format, create and/or revise documents using the document control system and other organizational policies, procedures and tools such as branded template as assigned.
    • Test new software and provide feedback.
    • Provide support and perform special projects as assigned
  • Work closely with Marketing & Communications as assigned to:
    • Create and manage ongoing slide digital display communications; update content on the employee intranet and coordinate or assist on invitation/contact/e-mail lists, email deployments and reporting for events and communications.
    • Assist with ongoing responsibilities including photography scheduling and files and promotional material orders.
  • Work closely with Hospital Development as assigned to:
    • Support death record review process by providing QA, reviewing reports and calls to death comparison reports.
    • Track and monitor hospital plans, monthly reports and hospital interactions.
    • Run customized quarterly report for Supervisor, Hospital Development using Report Manager
    • Field calls from hospitals for professional education opportunities
  • Perform other duties as assigned

Qualifications

Education and Training Required

The following identifies the minimum education and training required to perform the essential functions of the job

  • High school diploma or GED equivalent, some college preferred
  • Microsoft Office Specialist (MOS) certification required

 

Experience and Skills Required

The following indicates the minimum skills and experience required to perform the essential functions of the job.

  • 10 years’ experience in an office environment
  • Experience supporting multiple departments – senior management and staff
  • Ability to type 55 words per minute
  • Advanced skills in Microsoft Office Suite
  • Advanced skills in Photoshop/desktop publishing
  • Advanced user of SharePoint; familiar with web design
  • Ability to enter data accurately and generate reports
  • Attention to detail and good proofreading ability
  • Ability to retain confidential information
