TITLE: Invoicing Specialist/Administrative Assistant
ROLE: Gila Geological Consultants, LLC. is looking for an administrative assistant with accounts payable, accounts receivable, human resources administration and reception experience.
LOCATION: This position is located in Globe, Arizona. This is a rural area approximately 80 miles from the Phoenix metropolitan area. This historic town is at an altitude of approximately 3,500 feet located in the heart of Arizona’s Tonto National Forest. The summers are hot, dry, and mostly clear and the winters are cold and partly cloudy. Over the course of the year, the temperature typically varies from 34°F to 96°F and is rarely below 26°F or above 101°F.
DUTIES AND RESPONSIBILITIES:
- Develops, implements, and monitors systems for general accounting.
- Prepares financial and operational reports.
- Manages monthly accounting close cycle; prepares month-end financial statement.
- Installs, modifies, documents, and coordinates implementation of accounting systems and accounting control procedures.
- Manages accounts payable, and accounts receivable systems.
- Assigns duties and monitors quality of work of subordinates; assures staff conforms to organizational policies and procedures and government regulations.
- Performs other related duties as assigned by management.
- Administers company-wide human resources policies, procedures, and practices in accordance with stated corporate objectives and federal and state legal requirements.
- Coordinates employee benefit programs including but not limited to health insurance, long term disability insurance, life insurance, COBRA, and other programs.
- Responds to employee’s benefit questions, resolves problems regarding access to or payment of benefits, orients newly eligible employees, and processes enrollment forms and change requests.
- Prepares and maintains human resources and employee benefits data and reports.
- Maintains employee files.
- Administers unemployment and disability claims.
- Reviews coverage, services, and options available from insurance and investment companies to determine programs that best meet the organization’s needs.
- Reviews benefit plans for compliance with government regulations.
- Assures required labor law posters are in place.
- Responsible for shipping, receiving and reception.

QUALIFICATIONS:
- High School Diploma or GED required.
- 5 years related experience or equivalent.
- Proficient on Microsoft Office Suite, QuickBooks, Adobe Acrobat and Exel.
- Experience with third party payroll and human resource service providers and their web-based platforms.
