Main Responsibilities:
- Providing high-quality clerical and administrative support to the department.
- Ensuring all critical tasks are fulfilled on a timely basis.
- Performing routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files.
- Answering telephones and giving information to callers, taking messages, and/or transferring calls to appropriate individuals without delay.
- Greeting patients, clients, and providers upon their arrival at the facility and ensuring they are directed properly while recording any necessary information as required by policy.
- Scheduling client and patient appointments in full coordination with case managers, counselors, and physicians.
- Conducting reminder calls regarding appointments to clients.
- Complying fully with all confidentiality regulations and policies while not disclosing any patient or client information to unauthorized persons.
- Maintaining focus on patient and client needs while taking all necessary steps to ensure those individuals are responded to rapidly based on their stated issues and the observations of this position holder.
- Using computers for various applications, such as database management or word processing.
- Creating, maintaining, and entering information into databases.
- Properly executing and handling all required paperwork and authorizations such as Release of Information documents.
- Setting up and managing paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
- Operating office equipment such as fax machines, copiers, or phone systems and arranging for repairs when equipment malfunctions.
- Greeting visitors or callers and handling their inquiries or directing them to the appropriate persons according to their needs.
- Maintaining knowledge of all safety regulations and policies and performing all job functions in a highly safe manner.
- May providing occasional crisis intervention assistance in partnership with licensed staff members.
- Maintaining scheduling and event calendars.
- Completing forms in accordance with company procedures.
- Distributing mail accurately and on a timely basis.
- Maintaining and ordering office supplies.
- Scheduling and confirming appointments for clients, customers, and/or management team members.
- Making copies of and properly routing correspondence or other electronic and printed materials.
- Demonstrating ability to regularly change priorities to accomplish all tasks despite frequent interruptions.
- Demonstrating ability to clearly communicate, both orally and in writing, while performing all essential functions.
Requirements:
- High School Diploma, with an Associate Degree preferred.
- One to three years administrative experience in a medical environment, with behavioral health experience preferred.
- Experience working within a Native American environment preferred.
- CPR Certification.
- Fingerprint clearance for TCH only.
- Demonstrated ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures.
- Interest in medical subjects, patient services/care, and customer service.
- Prior medical environment work experience is preferred.
