The Administrative Assistant will provide high-level administrative support to all leadership team members, will coordinate meetings / travel and oversee special projects. The nature of this role will report to the Chief of Staff but will matrix and actively support the full leadership team.
Responsibilities :
- Prepare high quality, sophisticated Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents to support the organization's objectives. Adept at managing multiple versions of documents and ensuring completeness, timeliness, and accuracy of final product
- Draft and prepare correspondence for internal announcements, board meetings, and leaders as required
- Arrange travel and accommodation for the Leadership team
- Support ad hoc meetings (accommodations, food, event space, activities) in national locations, including leadership meetings, board meetings, acquisition on-sites and others as needed
- Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the company's operations and in handling C-Level matters
- Be responsive to emails / texts / phone calls, with contact outside regular business hours
- Represent the company and the Leadership Team in a positive light through great follow-through skills and sound judgment
- Complete ad-hoc projects as assigned
- Organize complex calendars and schedules; resolving any scheduling issues
- Willing and able to occasionally travel with the leadership team to meetings and team events to function as on-site coordinator for facilities, meetings, and social events
