Job Summary:
The Volunteer Administrator role is responsible for supporting the cycle of volunteers through placement, onboarding, training, and retention process of Girl Scout volunteers. This role ensures a smooth and efficient experience for new and returning volunteers by managing administrative tasks, maintaining records, and assisting with training coordination. The position requires excellent organizational skills, attention to detail, and a passion for supporting volunteers in delivering a high-quality Girl Scout experience.
Key Responsibilities:
Volunteer Onboarding & Processing:
- Assist with membership placement.
- Assist in the processing of new volunteer applications, background checks, and required documentation.
- Maintain accurate volunteer records in the council’s database.
- Communicate with new volunteers to provide guidance on the onboarding process and answer questions.
- Ensure compliance with Girl Scouts’ policies and safety guidelines during volunteer onboarding.
Training Coordination & Support:
- Schedule, coordinate, and follow-up with volunteer training sessions, including in-person, virtual, and self-paced learning modules.
- Assist with preparing training materials, presentations, and resources for volunteer development.
- Track volunteer training completion and follow up as needed to ensure compliance.
- Support trainers and facilitators with logistics, technology setup, and training evaluations.
Volunteer Engagement & Retention:
- Assist with developing and implementing strategies to recognize and retain volunteers.
- Maintain communication with volunteers through email, newsletters, and other engagement tools.
- Support volunteer appreciation efforts, including recognition events, awards, and incentives.
- Gather feedback from volunteers to improve the cycle of volunteers.
Administrative & Office Support:
- Manage volunteer-related inquiries and provide timely assistance.
- Maintain organized files, reports, and data tracking systems.
- Assist with scheduling meetings, coordinating events, and other administrative tasks.
- Support other council departments as needed in volunteer-related initiatives.
- Maintain troop and service unit bank accounts and troop and service unit finance reports.
Qualifications & Skills:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 1-3 years of administrative experience, preferably in volunteer management, nonprofit, or customer service settings.
- Strong organizational and time management skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and database management.
- Ability to work collaboratively in a team environment.
- Passion for the Girl Scouts’ mission and volunteerism.
- Ability to work occasional evenings and weekends as needed.
