Position Overview
The Program Manager is a full-time, exempt position that reports to the Executive Director. The Program Manager will oversee the effective planning, implementation, and delivery of all Girls on the Run programs. This includes managing site operations, coach recruitment and training, program registration, communications, budgeting, and program evaluation. The ideal candidate will be a strategic thinker with a passion for youth development, excellent organizational skills, and a strong ability to collaborate with internal and external stakeholders.
Key Responsibilities
· Program Outreach and Site Management
o Implement the Girls on the Run program plan in alignment with organizational goals, ensuring consistency across all sites.
o Identify and recruit new community and school sites, conducting outreach to expand our program’s reach in targeted areas.
o Lead and support Site Liaisons to ensure high-quality program delivery at each location.
o Conduct regular site visits to monitor program implementation, troubleshoot issues, and ensure that the program meets established standards.
o Support high-needs sites with tailored resources and guidance to ensure success.
o Attend and represent Girls on the Run at community events to increase brand visibility and build relationships with community leaders.
· Coach Management and Training
o Develop and implement strategies for recruiting, training, and retaining qualified volunteer coaches that reflect the diversity of the girls served.
o Co-facilitate coach training sessions to ensure coaches are prepared and equipped with the necessary tools to lead their teams.
o Offer ongoing support to coaches throughout the season, providing guidance, motivation, and recognition.
o Facilitate and oversee the completion of required certifications for coaches, including CPR/First Aid and concussion training.
o Collaborate with the Program Director and others to manage coach appreciation and recognition initiatives.
· Program Management & Evaluation
o Manage the program registration process, ensuring timely and accurate data entry and tracking.
o Communicate regularly with parents and caregivers, providing updates and responding to inquiries.
o Oversee the collection of program evaluations, including surveys for coaches, parents, and participants, and use the feedback to enhance program effectiveness.
o Collaborate with the IDEA (Inclusion, Diversity, Equity, and Access) committee to ensure the program is inclusive and accessible to all girls.
o Manage participant financial assistance policies and ensure equity in access to the program.
o Update and manage program-related information on the website, e-newsletters, and social media platforms.
· Budget and Administrative Support
o Work with the Executive Director to develop and track the program budget, ensuring adherence to financial guidelines and effective use of resources.
o Set up and manage event pages, site pages, and coach recruitment efforts in the Pinwheel CRM system.
o Collect and manage data related to program rosters, revenue, and participant numbers to ensure the program’s success and sustainability.
o Manage paperwork for coach files, site files, MOUs, and other relevant documents, ensuring compliance with program standards.
· Organizational Support & Event Coordination
o Collaborate with Girls on the Run staff to communicate program impact to internal and external stakeholders.
o Take an active role in the planning and execution of the fall and spring end-of-season 5K events, coordinating volunteers and logistics.
o Attend and represent Girls on the Run at organizational events, site visits, prospective site meetings, and community fundraisers.
o Support the Executive Director and program staff in other duties as assigned.
Qualifications
· Required
o Passion for the Girls on the Run mission and experience working with youth and/or in educational or youth development settings.
o Bachelor’s degree or 3-5 years of experience in program management, nonprofit leadership, or a related field.
o Strong organizational skills and the ability to multitask in a fast-paced environment.
o Excellent communication skills (written and verbal) with the ability to engage diverse stakeholders.
o Experience with volunteer management, including recruitment, training, and retention strategies.
o Ability to use Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with CRM/data management systems (e.g., Pinwheel).
o Valid driver’s license and access to a reliable vehicle.
· Preferred
o Experience in community outreach, site recruitment, or youth sports programs.
o Familiarity with nonprofit operations and/or experience in program evaluation.
o Strong problem-solving and decision-making skills.
o Experience with budget management and financial tracking.
Work Environment & Physical Demands
· A collaborative, flexible work environment with some evening and weekend availability required.
· You must be able to lift 20-30 pounds for event-related tasks and be on the phone for extended periods.
· Ability to sit, stand, and move for extended periods during program events.

Compensation and Hours:
· Hourly rate: $26/hr.
· Schedule: Monday - Thursday, 9 AM - 5PM (8-hour shifts), with occasional evening on-call responsibilities. during the program season (March – May).
