CONSTRUCTION MANAGEMENT OPERATIONS
FULL-TIME, NON-EXEMPT

We are currently seeking an Project Administrator to join our team in Truckee, CA. This position is Full-Time (Exempt) and reports directly to the Project Manager.
GENERAL DESCRIPTION:
The Project Administrator is responsible for supporting construction projects by coordinating with the project team and executing the administrative aspects of a project. This role requires individuals to possess strong written and verbal communication skills with the ability to collaborate with multi-functional teams of building and design professionals. They must also be highly organized, excelling in a fast-paced office environment by multitasking and prioritizing daily tasks. The ideal candidate will have a mix of 1-2 years of construction and professional office experience with the desire to advance in a construction management role. Applicants with a degree in a field relevant to construction or industry certification are preferred, and must be proficient with software (MS Office, email) and technology to succeed in this role.

PROFESSIONAL DELIVERABLES:
These results are expected from a top-performing Project Administrator.
Project Setup: Ensure that proper tools are in place prior to the beginning of a project.
- Prepare and submit Prime Contracts and Subcontracts to the Project Manager for review and release to appropriate ownership and project partners
- Collect and organize all Construction Documents including plans, specifications, and drawings for permit application requirements and approved change orders
- Build and maintain project logs for tracking RFPs, RFIs, RFCs, Submittals, and Applications for Payment
Project Closeout: Ensure that necessary documentation is in place to close out the project.
- Gather, prepare, and submit regulatory paperwork and certifications to appropriate agencies as required to obtain final approval
- Compile and distribute O&M manual to appropriate ownership
- Distribute all punch lists and follow up as necessary to ensure timely completion of punch list work
- Collect all required closeout documents for certification; assemble closeout documents and address non-compliant subcontractors directly for compliance
Operational Excellence: Plan effectively
- Ensure subcontracts and insurance & bonds certificates are current and received prior to the performance of labor by subcontractors at the worksite
- Distribute short interval and full-term project schedules; ensure subcontractors have the most up-to-date Scopes of Work; assist with managing the overall project schedule
- Prepare all project meeting agendas and distribute associated Construction Documents to project partners as directed by the Project Manager
- Collect superintendent daily reports, weekly project photos, and safety documentation; review for completeness and file within appropriate project folders
- Provide assistance to the office manager as needed
