Job Summary:
In this customer service role, the employee will provide compassionate support to adoptive parents throughout their adoption journey. They will proactively address needs, anticipate concerns, and offer guidance on paperwork, resources, and process updates. Operating with empathy and professionalism, they will ensure adoptive parents feel informed, confident, and supported every step of the way. Their goal will be to create a positive, seamless experience for families, building trust and offering reassurance during an emotional and transformative time.
Key Responsibilities:
- Provide professional services, guiding adoptive parents through the adoption journey with empathy and expertise.
- Build trusted relationships with adoptive parents, offering guidance throughout the process, ensuring timely and reliable follow-up.
- Support the development of adoption plans, assisting adoptive parents in creating their profile from initial admission through placement with a loving family.
- Facilitate child matching, placement, and post-placement supervision, ensuring a smooth adoption process.
- Facilitate positive relations between birth parents and prospective adoptive families, ensuring clear communication and understanding.
- Foster long-term, empathetic relationships with adoptive parents and their families, providing continuous support where needed.
- Manage multiple adoption cases concurrently, tracking progress, following up, and maintaining accurate documentation.
- Operate confidently and independently, utilizing good judgment and requiring minimal supervision.
- Leverage agency and community resources at the federal, state, and local levels to support adoption processes.
- Collect necessary information, assess individual needs, and develop comprehensive case management plans tailored to each family.
- Coordinate the collection of required information to ensure compliance with regulatory agencies.
- Maintain accurate records of all adoption cases, ensuring proper file closure and timely sealing of adoption records.
- Complete home studies and post-placement reports, ensuring all requirements are met and documented accordingly.
- Assist in facilitating monthly training for prospective adoptive parents on domestic adoption, preparing materials, coordinating logistics, and addressing participant questions.
- Perform other duties as assigned to support the organization’s operational needs and contribute to the team’s overall success.
Minimum Qualifications/Requirements:
- Bachelor's degree in social work, psychology, or a related field.
- Valid driver’s license.
- Strong communication skills, both written and verbal, with the ability to build trust and foster relationships.
- Empathy and emotional intelligence to work effectively with adoptive parents, birth parents, and children.
- Excellent organizational skills to manage multiple adoption cases, track progress, and maintain accurate documentation.
- Strong problem-solving abilities and adaptability to handle challenges as they arise.
- Skilled in project management, with the ability to manage various aspects of the adoption process simultaneously.
- Strong ability to deliver exceptional customer service, anticipating needs, addressing concerns, and providing expert guidance for a positive, seamless experience.
- Ability to operate independently, using sound judgment and requiring minimal supervision.
- Proficiency in Microsoft Office Word, PowerPoint, Excel and Microsoft Teams.
Preferred Qualifications:
- Prior experience with adoption and case management.
- Experience in client assessment and adoption counseling.
