AP/PURCHASING/SCHOOL FOOD SPECIALIST
(Full-Time 12-month position)
REPORTS TO: Superintendent & Business Manager
ESSENTIAL FUNCTIONS:
Process invoices, claims, and warrants for district accounts payable and maintains an accurate record keeping system.
District Purchasing Agent including: placing orders, inputting all district purchase orders while observing proper account coding.
Acts as shipping and receiving clerk for all buildings. (Receives and sorts incoming shipments)
Determining official for school food program, including annual school food letter and free/reduced applications to parents, processing & determining eligibility
Administer district-wide meal tracking software program and associated forms, claims, correspondents and files, as well as oversee outstanding meal account balances & overdue collections
Sorts mail. Also takes district mail to Post Office, UPS, FedEx (all outgoing mail and shipments)
Assists with preparation of monthly reports, as to expenditures and receipts.
Assisting with bookkeeping duties including, but not limited to: preparation of monthly reconciliation of county treasurer’s report, asset tracking, and 1099 preparation and reporting.
Assists clerk as may be required for the purpose of supporting and completion of work activities. (including assisting with audits and school elections)
Receives and directs incoming telephone calls. Assumes receptionist duties in the Central Office.

DESIRED MINIMUM QUALIFICATIONS:
Equivalent of a high school diploma supplemented by or including courses in office organization or secretarial skills, or any combination of training and/or experience that provides the desired knowledge and abilities.
Prior service demonstrating responsible office experience, preferably in a school district.
Work efficiently and with a service-oriented attitude under stressful situations with constant interruption.
Change and adapt office procedure and details in concert with the needs and requirements of the administrator and the District.
Understand and apply complex policies and rules.
Maintain cooperative working relationships with those contacted in the course of work.
Type at a net corrected speed of 55 words per minute.
Ability to handle stressful situations.
Ability to maintain confidentiality of employment and student matters.
Ability to effectively manage time and responsibilities.
EQUIPMENT USED:
Computer, calculator, copier, telephone/voice mail, fax.
WORK ENVIRONMENT:
While performing the duties of this job, the employee regularly works inside. The employee must be able to meet deadlines with severe time constraints. The noise level in the work environment is usually moderate.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is frequently required to sit; occasionally walk and stand; twist at neck and waist. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus. The employee is required to be able to hear conversations in quiet environments.
MENTAL/MOTOR DEMANDS:
While performing the duties of this job, the employee often performs routine work. The employee frequently exercises flexibility (ability to shift from one task to another).
