Position Summary:
The Assisted Living Receptionist is responsible for the overall customer service role and operation of the main reception area in Assisted Living. The Receptionist is responsible for greeting all Members, staff and visitors and assisting them as needed. The Receptionist is responsible for promoting a warm and welcoming environment.
Responsibilities:
- Responsible for greeting Visitors and Members in a professional and welcoming manner and providing assistance and directions as needed
- Responsible for answering incoming phone calls in a friendly and helpful manner and assisting callers with requests in accordance with GPR established policy and procedure. Relaying messages to staff and Members in a timely manner. Locating staff, as needed
- Responsible for scheduling Member medical appointments and arranging for transportation
- Manages the Member and Visitor Sign in/out system and assists Members and Visitors as necessary
- Contacts the Glenridge shuttle service for Members and Visitors and arranges for pick ups
- Performs various clerical tasks, such as copying, faxing, and scanning as necessary
- Reports suspicious persons to the Security Office immediately
- Must be well organized and can work with limited direction, take initiative, and can plan and carry out responsibilities, organizing own schedule and duties to complete responsibilities
- Must also have good judgment in determining needs of the company and in maintaining information delivery in conformance with recognized standards; and is expected to understand and follow all regulatory and facility policies
- Keeps current on all changes in the industry, particularly regulatory changes as they relate to assisted living.
- Must have good judgment in determining of Members and working/collaborating with the different departments and in maintaining delivery of those needs in conformance with recognized standards; and is expected to understand and follow all regulatory and facility policies
- Must be empathetic, energetic and have an affinity for working with a diverse senior population
- Maintains confidentiality of members’ PHI (Protected Health Information) and medical records information as well
- Other various duties as assigned
Qualifications:
- Must have at least a High School diploma or equivalent. At least 2 years of proven experience in a long-term care (assisted living, memory care and/or skilled nursing) setting is preferred
- Proficiency in various clerical skills
- Skill in understanding of computer software as it relates to the job. Experience with electronic medical records preferred
- Excellent decision-making and analytical skills
- Excellent leadership skills
- Excellent communication skills and problem-solving skills
- Excellent organizational and time management skills
