POSITION DESCRIPTION
Payroll Tax Specialist Summary:
The Payroll Tax Specialist plays a critical role in ensuring the accurate recording of tax transactions and meticulous compliance with federal, state, and local regulations. This position involves meticulous examination of payroll records, reconciliation of taxes, and proactive resolution of tax-related issues. Through advanced research, analysis, and collaboration with internal teams, the Payroll Tax Specialist contributes to maintaining high standards of accuracy and efficiency in payroll tax services. This position interacts directly with clients and associates to provide expert guidance and support regarding payroll tax matters.
Payroll Tax Specialist Essential Duties:
- Examine all client payroll records meticulously to ensure accurate recording of tax transactions and thorough, accurate, and timely compliance with federal, state, and local regulations.
- Play a pivotal role in the meticulous reconciliation of monthly, quarterly, and annual taxes, meticulously verifying filings for accuracy and completeness. Conduct audits as required, with varying frequency based on jurisdictional requirements.
- Utilize advanced research and analytical skills to delve into complex data calculations, enabling the provision of detailed and informed responses to inquiries from Federal and State authorities.
- Provide prompt and professional assistance in handling incoming phone calls and email requests, addressing queries and concerns from clients and associates with a focus on accuracy and efficiency.
- Thoroughly investigate and resolve tax notices, penalties, and questionnaire requests at the federal, state, and local levels, employing a proactive approach to mitigate potential risks and ensure compliance.
- Collaborate closely with the Payroll Department to identify and rectify variances, ensuring alignment and consistency in tax-related processes and outcomes.
- Offer valuable support to other internal departments ("gateways") by facilitating client relationship management and coordinating meetings, contributing to seamless communication and collaboration across the organization.
- Participate actively in client meetings, capturing comprehensive notes on discussion points and action items to ensure clear communication and follow-up on agreed-upon tasks.
- Effectively disseminate pertinent meeting information to team members and gateway associates, ensuring accountability and progress tracking for assigned action items.
- Contribute to the maintenance of comprehensive procedures manuals, departmental checklists, and templates to streamline processes and ensure consistency in tax-related activities.
- Performs other duties as required.
Education:
Must have a High School Diploma or equivalent.
Associate’s degree in Accounting or related field preferred.
Experience:
Must have at least two (2) or more years’ experience in multi-state payroll and taxes.
Skills:
Must have the following skills and/or abilities:
- Strong problem-solving and analytical skills, with the ability to analyze complex data and derive actionable insights.
- Knowledge of federal and state tax laws and regulations, and knowledge of domestic employer filing requirements.
- Ability to read and interpret complex federal, state and local policies, legislative briefs, regulations and other written documentation as it pertains to tax compliance and filing matters.
- Excellent analytical, technical and tax accounting/technology skills with knowledge of generally accepted accounting principles (GAAP), tax compliance and corporate consolidated returns.
- Accuracy and the ability to handle responsibility with limited supervision.
- Demonstrated excellent organizational skills with attention to detail, time management, task oriented, good interpersonal skills, patience, perseverance and follow-through.
- Excellent communication skills, both verbal and written, to effectively convey information and interact with diverse stakeholders.
- Exceptional attention to detail and ability to manage multiple tasks simultaneously and meet deadlines while maintaining the highest standards of accuracy and quality focusing on a specific task and thinking of all critical details.
- Exceptional interpersonal skills and organizational abilities to collaborate effectively within a team environment.
- Strong computer and keyboard skills which includes MS Word, Outlook and Excel, ten-key number pad or calculator by touch, and exposure to payroll software applications.
Physical Activities:
Must be able to:
- Constantly sit or stand for 4 or more hours per day performing various tasks such as compiling reports and spreadsheets for as needed, fielding questions to appropriate staff members, and coordinating with consultants.
- Constant use of fingers and hands when typing, using a 10-key number pad, handling pens/pencils, forms/paper, telephone, tools, or other computer or office equipment.
- Lift, transfer, push, or pull up to 15 lbs. of files, supply boxes, or other small office equipment.
- Speak and hear average or normal conversations and receives ordinary information through verbal communications.
- Average, ordinary visual acuity necessary to utilize the computer or other office machinery, and to read or write instruction manuals or other documents.
- Frequently move about the office which may include climbing stairs, stooping, kneeling, and/or bending.
Working Conditions:
The majority of work is performed in an office atmosphere located inside a building with no hazardous or significantly unpleasant conditions. Occasional client site visits. Requires contact with others (face-to-face, by telephone, or otherwise); determining tasks, priorities, and goals; and being exact with any requested written reports for documentation purposes.
