TITLE: HR Operations Analyst

REPORTS TO: Manager, HR Operations


Position Summary:


This position is responsible for administering employee benefits programs and managing the full onboarding cycle for new hires. The HR Operations Analyst will ensure that employees are properly enrolled in benefits plans, guide them through the onboarding process, and support smooth integration into the company.


Major Job Accountabilities:


  • Administer and manage employee benefits programs, including health, dental, vision, life insurance, retirement plans, and other employee offerings.
  • Act as the primary point of contact for employee benefits inquiries, assisting with plan eligibility, enrollment, changes, claims, and general benefits-related questions.
  • Ensure the timely processing of benefits enrollments, updates, and terminations, including life event changes (e.g., marriage, birth of a child).
  • Maintain accurate and up-to-date benefits records, ensuring compliance with federal, state, and company policies (e.g., ACA, ERISA, HIPAA).
  • Guide new hires through the complete onboarding process, from offer acceptance through their first day and beyond.
  • Coordinate pre-boarding activities, including documentation and communication with new hires before their start date.
  • Conduct new hire orientations, introducing employees to company policies, culture, and benefits offerings.
  • Ensure that all new hire documentation, including tax forms, I-9s, direct deposit, and benefits enrollment forms, are completed accurately and timely.
  • Collaborate with relevant departments (e.g., IT, Tech Ops, Crew Scheduling, Security, etc.) to ensure new hires have the necessary resources, equipment, and access from day one.
  • Track and ensure completion of all onboarding tasks, including training, company policies, compliance, and job-specific responsibilities.
  • Develop and maintain educational materials to help employees understand their benefits options and make informed decisions.
  • Assist with annual benefits open enrollment periods and ensure employees are well-informed and complete the necessary enrollments on time.
  • Monitor and maintain accurate records of the onboarding process, ensuring all required documentation is compliant with company standards.
  • Continuously evaluate and improve the onboarding experience based on feedback from new hires and department needs.
  • Collaborate with HR team members to refine and streamline the onboarding process, ensuring maximum efficiency and employee satisfaction.
  • Stay current with industry best practices and legal changes related to benefits administration and onboarding to ensure the organization remains competitive and compliant.
  • Leave administration.


Qualifications:


  • Bachelor’s degree preferred.
  • Experience in Human Resources, Benefits Administration, or a related field is preferred.
  • 1 years of experience directly involved in benefits administration and onboarding processes, preferred.
  • Proficiency with HRIS systems and benefits administration software, preferred.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills with the ability to effectively interact with employees at all levels.
  • Analytical skills required.
  • Ability to handle sensitive and confidential information with discretion.
  • Knowledge of federal and state regulations related to benefits and onboarding is a plus.
  • Excellent proficiency in Microsoft Office products (PowerPoint, Excel, Word).

The employee must frequently lift and move up to 10 pounds and occasionally lift and move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
