Job Description

The Receptionist is the first point of contact for visitors, clients, and team members, and plays a vital role in creating a professional and welcoming environment. This position is responsible for managing front desk operations, providing outstanding customer service, and delivering a range of administrative support to ensure the efficient functioning of the organization.

Job Responsibilities/Duties

  • Welcome visitors, clients and employees with a warm, courteous and professional demeanor.
  • Direct guests to appropriate departments or staff members and provide them with necessary information or support.
  • Answer, screen, and direct incoming calls promptly and professionally; take accurate message and ensure timely delivery.
  • Monitor and transcribe voice messages, ensuring messages are relayed to the appropriate personnel.
  • Maintain a clean, organized, and welcoming reception area at all times.
  • Receive, sort, and distribute incoming mail and packages.
  • Provide general administrative and clerical support to the Accounting team, as assigned.
  • Assist with inquiries and requests from visitors, callers, and team members, resolving issues or escalating as appropriate.
  • Ensure building access protocols are followed, verifying the identity of visitors and maintaining a secure environment,
  • Maintain confidentiality and exercise discretion with handling sensitive information.
  • Perform additional duties as needed to support the ministry and its objectives.

Education/Experience

  • High School Diploma or equivalent.
  • Previous experience in receptionist, administrative support, or customer service role strongly preferred.

Skills And Abilities

  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with a demonstrated ability to engage with individuals at all levels.
  • Professional appearance and demeanor.
  • Dependable, punctual, and able to manage multiple priorities efficiently.
  • High level of integrity and ability to handle confidential information appropriately.

Physical Requirements

While performing the duties of this job, employees will frequently be required to sit, stand, walk, bend, kneel, stoop, climb, talk and hear, both in person and by telephone; use hands repetitively to handle, feel or operate standard office equipment; reach with hands and arms; and lift up to 15 pounds occasionally, and more than 40 pounds infrequently with assistance. Specific vision abilities required by the job include close vision, distance vision and the ability to adjust focus.

Schedule
