Reporting to the Manager of Philanthropic Services Operations, this position is at the heart of RSF’s philanthropic efforts. The Senior Associate is responsible for the day-to-day management of gifts and grants, including processing, data entry, due diligence, reporting, and ensuring data integrity. In this role, they collaborate closely with internal teams, clients, and grantees to provide a seamless and positive experience for all stakeholders, while proactively identifying and implementing opportunities to improve processes and workflows.

In a fast-paced environment, the Senior Associate works independently to manage multiple priorities, handle confidential matters with discretion, and delivers consistent, high-quality results.

As an integral member of the Operations team, the Senior Associate also contributes to cross-departmental projects, administration, and data analysis, driving operational excellence to support RSF’s mission of fostering transformative change.

Gift and Grant Management (45%)

Be a champion of RSF’s core philanthropic operations, ensuring every gift and grant is managed with precision, timeliness, and a dedication to providing outstanding, client-centered service :

  • Accurately track and document all donations and grant transactions, ensuring data integrity and maintaining comprehensive, reliable records.
  • Manage the end-to-end process for domestic and international grants, including due diligence, payment processing, issue resolution, and report reviews.
  • Ensure compliance with all legal and regulatory requirements for philanthropic activities.
  • Support financial operations by processing inter-account transfers and invoices with accuracy and efficiency.
  • Maintain shared inbox communications, delivering prompt and professional responses to ensure timely resolution of cases.
  • Provide stakeholders with copies of gift and grant letters upon request, ensuring easy access to critical documentation.

Account Management & Client Experience (35%)

Act as the key point of contact, providing responsive and thoughtful service to enhance client relationships :

  • Facilitate account opening, management, and closure, ensuring all related documents and systems are up to date.
  • Deliver professional, friendly, and timely customer service by anticipating client needs, proactively resolving inquiries, and fostering positive relationships with clients, grantees, colleagues, and vendors.
  • Serve as a trusted resource on RSF’s philanthropic funds, client portal, and policies.
  • Data Integrity & Reporting (15%)

    Data supports impact, and you will ensure that our records support insightful decision-making and transparent reporting :

  • Maintain high data quality across systems, supporting reconciliation and migration projects as needed
  • Safeguard sensitive information and ensure compliance with confidentiality requirements
  • Generate performance metrics, insights, and reports that reflect the scope of work performed and impact.
  • Other (10%)

  • Identify opportunities to enhance processes and workflows, offering suggestions to improve efficiency and elevate the client experience.
  • Partner with cross-department teams on projects to enhance organizational efficiency and effectiveness.
  • Support the implementation or execution of team objectives and key results.
  • Ensure comprehensive documentation records that comply with RSF’s document retention and filing standards

    Qualifications

    Qualifications and Required Skills :

  • 2-5 years of domestic and international grantmaking experience, preferably with donor-advised funds or private foundations.
  • Demonstrated knowledge of grant management systems and customer relationship management systems (especially iPhi & Salesforce).
  • Strong proficiency with MS Office programs and data analysis tools, particularly Excel; experience with reporting and visualization tools (e.g., Tableau or Power BI) is a plus.
  • Proven ability to manage multiple priorities, meet deadlines, and execute complex workflows with high attention to detail.
  • Strong aptitude for learning and utilizing technology systems; ability to troubleshoot issues and optimize processes using existing tools.
  • Exceptional verbal and written communication skills combined with outstanding customer service and interpersonal abilities, and effective collaboration with diverse stakeholders.
  • Highly detail-oriented with a strong ability to maintain data integrity, ensure compliance, and exercise discretion and confidentiality when handling sensitive organizational information.
  • Must be able to work in RSF’s San Francisco office 1–2 days per week and be available for occasional after-hours work as needed.
  • Preferred :

  • Fluency in French / Spanish preferred
  • Demonstrated success in identifying inefficiencies and leading or contributing to process enhancements, particularly in philanthropic operations.
  • Familiarity with donor engagement strategies, philanthropic best practices, or client experience frameworks
