Job Title: Office Manager/Administrative Assistant Department: Administration

Position Summary:
Responsible for all administrative functions, including customer service, billing, accounts receivables transactions, and collections, functions of accounts payable, maintaining critical to quality vendor documentation, annual reports for regulatory compliance, process bi-weekly payroll, purchasing, ensuring that monthly and quarterly sales reports are available. Personal assistant to the CEO/President.
Essential Functions and Responsibilities include the following. Other duties may be assigned:
Billing & Accounts Receivable
Maintain all accounting-related system records
Deposit checks, post ACH payments, and charge customers’ credit cards
Send weekly AR report to CEO & discuss collections
Accounts Payable
Issue POs for supplies, outside services, and/or equipment
Review, code, and process A/P check requests for posting, reconcile monthly credit card statement, audit petty cash and employee reimbursements
Human Resources and Payroll
Assist with hiring and screening new employees and new hire, onboarding using Employee Navigator, manage all HR documentation, schedule background and drug testing, process bi-weekly payroll.
Quality and Compliance
Assists Quality Manager in maintaining accurate records.
Issue PO’s for Haz-waste pickups, manage WVWA, DEQ, and Stormwater documents in digital form and hard copies, maintain yearly permits, Hazardous Waste, and Propane Permits from Roanoke City,
Reporting
Open Sales Report (double check with Billing)
Open Purchase Order Report (double check with Dept Manager)
Open AR statements for month-end mailing after discussion with the CFO
Education and Experience:
Must have an accounting role with payroll experience and similar level responsibilities
Excellent computer skills, including Word, PowerPoint and Excel
Able to function well in a fast-paced environment handling multiple detailed tasks at one time
Able to always maintain good relations with customers and coworkers
Good communication and writing skills

Pay: From $48,000.00 per year
