Experienced Admin Specialist Job Description
Reports to the: President/VP
The Admin Specialist is responsible for providing support for all aspects of the warehouse and transportation office functions.
The role formally entails cover and support for all office functions from Data Entry, Inventory Control, Drayage and Dispatch Administration, Reception Services, Customer Scheduling, Booth services for Driver pickups and General Administration duties.
Key Responsibilities:
1. Data entry & verification: Performs data entry into excel as well as an inventory system and ensures that the information is accurate, complete, and up-to-date.
2*. Timely Data Entry:* Dealing with large sets of data, and therefore, has the ability to work efficiently and effectively. Data entry should be completed within the agreed timeline.
3. Administrative/Reception Duties: Regularly covers lunch time duties for the Reception and Customer scheduling Officer. This entails answering the phones, dealing with customer scheduling, post distribution and any other administrative duties such as filing, photocpopying, printing labels for customer accounts.
4. Inventory Management: Maintains accurate and up-to-date records of inventory levels, tracking inbounds and outbounds as part of the inventory control team.
5. Booth Services: Providescover the Booth services for Drivers checking in to collect items and products from the warehouse.
6. Drayage and Dispatch: Provides cover and support for drayage and dispatch services including liaising with drivers and monitoring arrivals of cargo at the port which our Drivers need to pick up.
7. Quality Control: When quality issues are reported ensure correct documentation is established. Ensure that the relevant people are informed.

Qualifications:
- High school diploma or equivalent (Bachelor's degree in a related field preferred).
Experience:
- Over 20 years experience of Office Administration
- Over 10 years experience of Data Entry
- 5 years of Warehouse experience
- Proven experience in inventory management and data entry preferably within a warehousing and logistics environment.
- Good mathematical expertise with basic finance skills
- Proficiency in data entry and inventory management software and Microsoft Office Suite.
- Exceptional attention to detail and organizational skills.
- Strong analytical and problem-solving abilities.
- Excellent communication skills, both written and verbal.
- Excellent customer services skills
- Ability to work independently and flexibly as part of a collaborative team.
