Reporting to the Deputy Director for Resettlement and Integration Services (RIS) the Program Assistant supports the work of the RIS leadership team with executive scheduling, expense reports, and other administrative duties. The Program Assistant also provides high-level coordination of special projects. This position ensures effective and timely administration and requires attention to detail, excellent organization and problem-solving skills, strong verbal and written communication, and strong interpersonal skills.

DUTIES
- Managing operations for the RIS leadership team. This includes but is not limited to reporting; communicating with internal and external stakeholders; travel plans; coordinating speaking events and convening internal planning groups; negotiating meetings space; making arrangements for equipment and/or shipping; facilitating meeting/event contracts; preparing check requests for vendors, consultants, and others as well as preparing and submitting expense monthly expense reports.
- Planning and scheduling regular meetings.
- Coordinating technology for meetings.
- Producing internal and external documents including meeting minutes, letters, and forms.
- Documenting next steps and follow-up items subsequent to meetings/events; identifying priorities, responsibilities and timeframe for those activities; distributing assignments as appropriate; and tracking follow-through.
- Represent Global Refuge during meetings and convenings and liaise with external stakeholders.
- Other duties as assigned
- Undergraduate degree strongly desired, preferably in Business Administration, Communications, or another relevant field or the equivalent combination of experience and education.
- A minimum of three (3) years of professional administrative experience, with experience in non-profits preferred.
- Experience with and commitment to working in a diverse workforce.
- Proven ability to be flexible in a fast-paced working environment.
- Demonstrated ability to coordinate multiple projects simultaneously and interact well with all levels of various systems, stakeholders, and staff.
- Excellent oral and written communication skills and impeccable attention to detail, especially in proofing communications.
- Demonstrated organizational skills with the ability to organize and prioritize, independently determining shifting priorities and responding appropriately.
- Proven ability to exercise utmost tact and diplomacy when dealing with confidential issues and ability to discern confidential issues.
- Strong proficiency in Microsoft Office applications, web-based platforms, and other computer applications.
- Deep commitment to Global Refuge's core values and ability to model those values in relationships with colleagues and partners.
- Ability and willingness to travel 5% of time.
