We are seeking a Business Manager & Executive Assistant to oversee financial compliance, HR functions, multi-site operations, and high-level executive support. This role works directly with the Owner/CEO, playing a key role in the organization’s leadership and strategic initiatives.
Key Responsibilities:
Executive & Strategic Support to CEO:
-Serve as the right-hand to the CEO, assisting in high-level decision-making, special projects, and strategic initiatives.
-Manage the CEO’s calendar, travel arrangements, correspondence, and meeting preparations.
- Draft reports, memos, and presentations for internal and external stakeholders.
- Act as a liaison between the CEO and department heads, ensuring smooth communication and workflow.
-Handle confidential and time-sensitive information with discretion.
- Attend high-level meetings, take minutes, and track follow-ups.
Financial Compliance & Business Management:
- Prepare and file state taxes and wage reports, including unemployment insurance (UI), withholding filings, and paid family leave taxes for multiple states.
- Ensure all state and federal tax documents are completed accurately and submitted on time.
- Work directly with insurance brokers and state entities to maintain insurance policies, liability coverage, and compliance for over 10 locations.
- Maintain Medicaid provider agreements, state contracts, and local business licenses, ensuring timely renewals and compliance.
- Work closely with the CFO to prepare financial statements, budgets, expense forecasts, and funding reports.
- Monitor financial performance, identify cost-saving opportunities, and assist in audits.
Human Resources & Organizational Leadership:
- Oversee full-cycle recruitment, including job postings, interviews, hiring, and onboarding.
-Maintain personnel files, benefits administration, and payroll coordination.
- Ensure HR compliance with Medicaid, state labor laws, and multi-state employment regulations.
- Manage employee relations, disciplinary actions, and performance improvement plans.
-Conduct background checks, staff training coordination, and compliance audits.
- Develop and implement HR policies, employee handbooks, and workplace guidelines.
-Plan and coordinate staff meetings, trainings, and team-building initiatives.
Operations & Multi-Site Oversight:
- Supervise administrative staff, including receptionists across multiple states.
-Ensure offices are running smoothly, including facility maintenance, supplies, vendor coordination, and compliance with safety standards.
-Oversee site compliance, including Medicaid audits, licensing renewals, and operational reviews.
-Manage office budgets, negotiate vendor contracts, and optimize operational efficiency.
- Ensure that all locations have the necessary resources to operate efficiently, including coordinating with cleaning staff, office supply vendors, and technology support.
-Provide direct support to teams, running errands as needed, including post office, FedEx trips, and supply pickups.
Qualifications:
- Bachelor’s degree in Business Administration, Human Resources, Finance, or a related field preferred.
- 5 years of experience in business management, HR, executive support, and/or multi-state operations.
-Strong knowledge of state tax filings, Medicaid compliance, HR laws, and financial reporting.
-Experience in multi-site operations, contract management, and office administration.
-Ability to handle sensitive and confidential information with discretion.
- Excellent leadership, organizational, and problem-solving skills.
-Strong written and verbal communication skills, with experience handling executive-level correspondence.
-Must have a valid driver’s license and a personal vehicle for occasional site visits and errands.
-Must have strong technical skills and highly skilled in excel, HRIS (Paychex) and MS Team.
