- Business Process Specialist supports the Information and Record Governance (IRG), Data Disposition Program, by defining, documenting, assessing, and scrutinizing the Data Disposition related business processes, of the IRG organization.
- The focus of this department and this work will be on the records management area of data disposition.
- The successful candidate will develop and deliver data disposition-related processes (levels 0-3), a process framework, and supporting deliverables in collaboration with the IRG team and stakeholders.
- In addition to increasing efficiency and productivity, the role will ensure processes are aligned with organization objectives, guidelines, and the future state process framework and playbook.
- Collaborate with the IRG team and stakeholders on the data disposition process framework to develop and deliver modular hierarchical processes from level zero (organizational context) to level three (procedure level).
- Identify, analyze, and document functional requirements, scope, and objectives associated with process delivery, e.g., RACI, Process Definition Documentation, value streams, process flows, procedural aids, and tools.
- Consult Information & Records Governance (IRG) SME’s, IT, and other partners in evaluating. identifying and delivery processes in which data disposition activities are performed.
- Coordinate with the team in the course of assigned work to schedule meetings, manage communications, etc. Update project workstream trackers and provide status updates to Project Managers.
- Learn and use data disposition processes, trackers, and tools relevant to the role.
- Incorporate and modularize existing processes as required.
- Ensure documents are created and distributed/posted in a timely manner.
- Participate in root cause analysis to develop appropriate process changes.
- Develop gap analysis with leaders and identify improvement opportunities and initiatives.
- Ensure processes are aligned with organization objectives and guidelines
- Review solution designs with IRG and the project team to ensure they meet requirements, are scalable, and high quality.
- Adhere to practices that improve operational efficiency via expanded communications with key process constituencies including IT, IRG, and relevant stakeholders.
- The Business Process Specialist coordinates with the IRG team and SMEs on quality checks and updates/adjustments to the work product as requested.
- Demonstrable evidence of experience and capability to develop a process framework and deliver modular hierarchical processes from level zero (organizational context) to level three (procedure level).
- Experience identifying, analyzing, and documenting functional requirements, scope, and objectives associated with process delivery, e.g., RACI, Process Definition Documentation, value streams, process flows, procedural aids, and tools.
- History of taking ownership of work, working independently and creatively without direct supervision, ability to prioritize, and facilitate cross-functional discussions with empathy and curiosity.
- Process improvement /Lean experience a plus
- Can explain the goals and purpose of data disposition
- Can explain in detail the purpose of a Process Definition Document
- Can explain and implement process hierarchy, process abstraction, and modularity.
- Detail-oriented, with good analytical skills and project management capabilities.
- Experience working independently, without direct supervision.
- Skill in facilitating cross-functional discussions and meetings as needed.
- Ability to prioritize, be highly organized, and accountable for all work.
- Quickly learn IRG, Data Disposition, the associated playbook, and how business processes can be developed to assist the teams in how to apply these guidelines to their work.
- Deliver process support documentation such as templates, procedural job aides, and tools.
- Can coordinate with project and IT resources to review analysis to determine next steps.
- Developed and delivered SIPOCs, value streams, and modularized process frameworks.
- Associate or bachelor’s degree or related work experience
- Associate or bachelor’s degree in business, Finance, Economics, Accounting, Public Policy, Library and Information Systems, Information Technology, Legal Studies, or a related discipline
- Advanced process management analysis knowledge and experience.
- Use of Business process notation, e.g., flow chart and BPMN.
- Management of process documentation and maintenance.
- Cross-function process delivery.
- Experience with medium-scale design, development, and implementation projects.
- Analysis, design, and delivery of modular process hierarchy within a data disposition framework.
- Familiarity with Lean / Lean Six Sigma.
- Prior utility or regulated company experience.
- Records management or relevant experience preferred.
- Identify and map to processes (level 0 to 3), and identify value streams. Develop and deliver process definition documentation, related models, and process attributes, e.g. RACI.
- Excellent analytical skills, and problem-solving skills.
- Experience working with process analysis software, Microsoft (MS) Visio, MS Teams, MS Office suite, and MS SharePoint.
- Client laptop will be provided to the successful hire within the service territory. If located outside the service territory, the vendor must provide.
