Job Summary:
- Our client is seeking a Planner Scheduler to maintain various work schedules for our facility management team and service repair/maintenance contracts and contractors.
- This role will involve the scheduling of employees, contractors, and service equipment maintenance to reduce costs without impacting the client and contract requirements.
- In addition to lowering costs and keeping the project on track, you must also make sure that our schedule is in line with all contract requirements and customer requests.
- The Scheduler / Planner is required to have at a minimum an Associate's degree in business administration, but a Bachelor's degree is preferred.
- Scheduler / Planner should have an excellent knowledge of the maintenance/construction industry.
- Time management and organizational skills are required skills.
- Ensures the effective execution of all maintenance work control processes by utilizing Client and CMMS systems.
- Plans and schedules the day-to-day activities of technical facility maintenance teams, work orders, purchase required parts, and well as requests and coordinates subcontracted service.
- Follows up with the client to ensure customer satisfaction with work orders and contract requirements.
Key Activities And Responsibilities:
- Manage routine and emergency service requests for both daily incoming and after-hours calls and emails.
- Create work orders for all service requests, PMs, routine repairs, and corrective action work
- Schedules and dispatches contractors and team members.
- Debrief tradesmen and team members after the completion of each call.
- Respond to all messages left overnight, including emergencies.
- Maintain the schedules for Preventative Maintenance, Corrective and Reactive work orders
- Forecast workload for 30 days out
- Contact customers with a "Parts Pending and/or Scheduling Access Pending” status for scheduling repairs and meeting contract requirements.
- Follow up on all pending work with the team
- Maintain billing, scheduling, and staging of materials, and database information
- Order various parts and equipment, as required.
- Maintain customer history files in CMMS
- Manage all manufacturer-related warranties and parts.
- Manage service timecards and work orders to service schedule
- Coordinates service contractor's Preventative and Corrective maintenance scheduling with facility manager and customer.
- Schedules contractor activities for building access
- Manages all vendor invoices for accurate service dates, services performed, purchased parts, and billed costs.
- Requisitions of supplies and equipment necessary to complete preventative, corrective, and reactive service
- Assure all work is documented and work orders are closed in the CMMS. This includes all labor, materials, and history is documented.
- Work with the On-Site Manager, Service Manager, and maintenance team to ensure all equipment and preventative maintenance inspections have been inputted into the CMMS with the Manufacturer's recommendations.
- Enforces all client safety and risk management policies and procedures; reports all accidents and injuries in a timely manner and identifies and corrects unsafe work conditions with management oversight.
- Attends training programs (classroom and virtual) as designated.
- Perform other duties and responsibilities as assigned.
- Ability to adjust their work schedule, as needed.

- Minimum associate's degree in business administration or construction/manufacturing/production-related field, Bachelor's degree preferred.
- Facility Service contracting experience.
- Construction/Manufacturing Scheduling experience.
- Computerized Maintenance Management Systems (CMMS) and Building Management Systems (Client) experience.
- Experience in various Facilities/Construction disciplines (HVAC, Electrical, Plumbing, etc.) and Commercial Facilities Management.
- Completing records and reports related to building facilities and preventive maintenance programs.
- Strong time management, leadership, and organizational skills.
- Five years minimum of related experience required
- Must be able to identify and prioritize multiple service requests/projects and perform work with a constant awareness of improving processes.
