Job Title: Volunteer and Collections Manager
Schedule: Tuesday–Saturday, 35 hours/week, primarily during the core hours of 10:00 AM–5:00 PM. Additional hours may be required for special events and programming.
Classification: Part-Time, Hourly
Pay: $19/hour, with a possible increase after 3 months

Position Overview
The Volunteer and Collections Manager is a key staff member responsible for overseeing both the care and management of the museum’s permanent collection and the recruitment, training, and coordination of museum volunteers and interns. This is a hands-on position that also provides administrative and operational support across various museum functions, including exhibits, visitor engagement, and special events.
The ideal candidate is detail-oriented, collaborative, and comfortable working in a dynamic environment. This role reports directly to the Executive Director and works closely with museum staff, curators, interns, volunteers, and the community.
Primary Responsibilities
Collections Management
• Oversee the storage, care, and organization of the Museum’s permanent collection.
• Maintain and update the collections database (Past Perfect), including condition reports and location tracking.
• Evaluate and process potential donations, complete documentation, and coordinate with the Collections Committee.
• Prepare deaccession proposals and reports for committee review.
• Train and supervise interns and volunteers in safe object handling, storage procedures, and collections care.
• Conduct research related to accessions, deaccessions, exhibits, loans, and catalog records.
• Serve as the staff representative on the Collections Committee.
Volunteer and Internship Management
• Recruit, interview, and assign tasks to volunteers and interns according to their skills and project needs.
• Train, supervise, and mentor volunteers and interns; complete required paperwork for CSU and other academic institutions.
• Track hours, assess performance, and offer guidance and support throughout placements.
• Maintain thorough and accurate records throughout the year to support annual reporting. This includes documentation of volunteer participation, donations, collections activity, exhibit details, and loan agreements.
Exhibit Coordination
• Collaborate with exhibit curators on timelines, concepts, and research.
• Prepare the gallery for new installations, assist with setup, and solve exhibit-related logistical challenges.
• Coordinate with community lenders, ensuring complete documentation, condition reporting, and timely return of objects.
• Serve as the staff representative on the Exhibits Committee.
Operations and Events Support (when needed)
• Assist with daily opening and closing procedures of the Museum.
• Provide general administrative and operational support, including managing donations, preparing acknowledgments, and basic financial tasks (e.g., cash reconciliation).
• Support marketing efforts by assisting with newsletters, social media content, and event promotion.
• Participate in planning and executing special events such as First Friday Art Walks, the Annual Gala, exhibit openings, and educational programs.
Qualifications
Required Education & Experience
• Bachelor’s degree in Art History, History, Anthropology, Museum Studies, or a related field.
• Museum Studies Certificate or equivalent experience, with a focus on Collections Management preferred.
• Experience in museum collections care, including storage, documentation, accessioning, and deaccessioning.
• Familiarity with exhibit design and installation processes.
• Proficient in collections database management (Past Perfect preferred) and Microsoft Office Suite (including Access).
• Strong multitasking skills and ability to work both independently and collaboratively.
• Experience in supervising and mentoring volunteers or interns in a professional setting.
Preferred Skills
• Experience working with academic institutions on internship programs.
• Strong organizational skills and effective verbal/written communication.
• Master’s degree in Art History, History, Anthropology, Museum Studies, or a related field.
Special Requirements
• Ability to lift and move objects, handle furniture, and work on ladders.
• Availability for evening and weekend hours during special events.
