We are seeking an HR Assistant on behalf of our manufacturing and construction client. This position ensures seamless HR operations by managing scheduling, expenses, onboarding coordination, administrative tasks, and supporting the company’s Learning Management System (LMS) and Human Resources Information System (HRIS). Your attention to detail, clear communication and proactive planning abilities will be vital to the team’s success! Responsibilities:

  • Keep the CHRO’s calendar organized by scheduling meetings, interviews, and travel arrangements.
  • Prepare and submit expense reports accurately and on time.
  • Support managers with administrative tasks like time-off requests, document prep, filing, and correspondence.
  • Process and submit invoices to keep approvals and filings running smoothly.
  • Coordinate onboarding schedules to help new hires get off to a great start.
  • Assist with enrolling employees in Learning & Development programs.
  • Manage and update the LMS, ensuring users have access to the latest content.
  • Generate reports from the HRIS to provide helpful insights and data for HR initiatives.
  • Work with the Facilities Coordinator to keep office supplies stocked and shared spaces tidy.
  • Step in as backup for inventory management and office maintenance when needed.
  • Create, review, and refine documents, reports, and PowerPoint presentations for clarity and professionalism.
  • Collaborate with the HR team to put together manuals, training materials, and reports.


Qualifications:

  • Prior experience supporting senior HR executives in a dynamic, fast-paced environment.
  • High level of professionalism, discretion, and confidentiality when working with leadership, team members, and external partners.
  • General knowledge of HR practices and policies.
  • Strong attention to detail with the ability to follow directions and manage priorities effectively.
  • Excellent customer service skills, creating a welcoming and professional atmosphere for guests and employees.
  • Proficiency in HRIS and LMS platforms like Kronos, UKG, Beyond, and Docebo.
  • Proactive mindset, anticipating needs and staying ahead of the executive team.
  • Exceptional written and verbal communication skills suited for executive-level interactions.
