LOCATION: New York, NY (Hybrid 4 days in office – sometimes more sometimes less)
HOURS: 8:30AM - 5:30PM with flexibility as needed
COMPENSATION: Up to $150K DOE Benefits Bonus Eligible

Our client, a New York advisory firm, is looking for an Executive Assistant to support the CEO & a Senior Partner. This role demands exceptional organizational abilities, a high degree of discretion, and a strong sense of professionalism. The ideal candidate will serve as a vital point of contact between the CEO and both internal and external stakeholders, ensuring smooth communication and enhancing the overall efficiency of the organization.
Responsibilities of the Executive Assistant:
30-40% - Direct Support for the CEO & MD of Communications
Calendar Management:
-Oversee and organize the CEO’s schedule, including meetings, appointments, and travel across multiple time zones.
-Anticipate potential conflicts and proactively resolve them to maximize the CEO’s time efficiency.
Meeting Coordination:
-Conduct research, organize, and prepare necessary materials for meetings to ensure the CEO is well-prepared and informed.
-Manage coordination for the Board (e.g., scheduling travel, preparing for meetings, etc.).
Confidentiality and Discretion:
-Handle confidential and sensitive information with the highest level of discretion and professionalism.
-Serve as a trusted advisor, maintaining confidentiality in all interactions.
Relationship Management:
-Cultivate and sustain positive relationships with both internal and external stakeholders.
Administrative Support:
-Provide general administrative assistance, including managing expenses, contacts, and spreadsheets.
-Input data into Salesforce and assist with other ad hoc tasks as needed.
-Backup coverage for reception when office coordinator is unable to be in the office
60-70% - Coordination with the Office of the CEO
Special Projects:
-Coordinate client events (4-5 per year) and assist in organizing board meetings, including communication with board members.
-Support in organizing monthly leadership meetings and annual offsite events.
-Assist in managing PR activities in collaboration with the MD, Communications.
-Foster key relationships with clients, partners, and operational leaders.
Requirements of the Executive Assistant:
-Bachelor’s Degree or higher required
-5 years of prior SVP level or C-level Executive Assistant work experience, preferably in a small to mid-sized firm
-Detailed oriented with strong organizational and problem solving skills
-Self-starter with the ability to complete tasks under tight deadlines
-Excellent verbal and written communication skills
-Comfortable working with ambiguity
-Advanced PowerPoint skills and Excel proficiency required
-Ambitious and eager to add value
-Verification of identity, education, prior employment, and references may be required
