POSITION: Executive Assistant / Office Manager
LOCATION: San Francisco, CA (Presidio)
HOURS: 9am – 5:00pm (Hybrid schedule – depending on the needs of the business)
COMPENSATION: $85-140k base
BACHELOR'S DEGREE: Preferred
Responsibilities of the Executive Assistant / Office Manager:
-Act as the first point of contact for all practical aspects of the San Francisco Office, including fielding incoming calls/email correspondence, and managing office-related vendor relationships
-Schedule and coordinate meetings, coordinating between multiple internal and external stakeholders and calendars in different time zones, including organizing group meetings, setting up conference rooms, ordering food and beverages as appropriate, welcoming guests and cleaning up conference room after meetings
-Prepare/coordinate all materials for meetings & events, including pitchbooks, presentations, agendas, name tags, etc.
-General administrative duties including global travel management, handling confidential information with discretion and timely expense management.
-Meeting planning, preparation, and oversight
-Plan, coordinate and ensure schedules are followed and respected
-Manage office inventory (including snacks, drinks, and office supplies) and order/replenish when needed
-Assist with unboxing orders and organizing supplies
-Anticipate general office needs and proactively manage everyday issues to ensure the workday runs smoothly
Requirements of the Executive Assistant / Office Manager:
-2-6 years of professional experience in a similar role, demonstrating aptitude in office coordination. Familiarity and/or interest in working in an investment management firm is a plus
-Bachelor's degree preferred, but not required
-Proficient knowledge of Microsoft Outlook, Excel, and Word, enabling effective management of schedules, data, and documents
-Demonstrated ability to communicate effectively in written and verbal form, facilitating clear interactions with all team members and stakeholders
-Demonstrated discretion and ability to handle confidential information appropriately
-Excellent interpersonal and relationship-building skills with coworkers, outside vendors, visitors, and other key stakeholders
-Must be able to be in the office at least 4 days per week
-Verification of identity, education, prior employment, and references may be required
Salary : $85,000 - $140,000
