Job Summary
We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will have experience in a property management office & will play a crucial role in ensuring the smooth operation of our office. This position requires a blend of administrative skills, customer service expertise, and the ability to manage multiple tasks efficiently.
Responsibilities
- Serve as the first point of contact for visitors and clients at the front desk, providing a warm and professional welcome.
- Manage phone systems, including answering calls, directing inquiries, and taking messages as needed.
- Provide support to team members, including calendar management and scheduling appointments.
- Handle customer service inquiries with professionalism and efficiency, ensuring a positive experience for all clients.
- Perform data entry tasks accurately and in a timely manner to maintain up-to-date records.
- Assist with office management duties, including maintaining supplies, organizing files, and ensuring a clean work environment.
- Collaborate with team members on various projects and administrative tasks as required.
- Handle tenant inquiries and complaints professionally, utilizing strong conflict management skills/ directing inquiries to appropriate team
- Maintain excellent phone etiquette when communicating with tenants, and vendors
Qualifications
- Proven experience in an administrative role or similar position is preferred.
- Experience in a Property Management office is preferred but not required
- Ability to handle multiple projects simultaneously
- Proficiency in office software applications, including word processing and spreadsheet tools.
- Familiarity with phone systems and office equipment is essential.
- Excellent typing skills with attention to detail for data entry tasks.
- Strong organizational skills
- A proactive attitude and the ability to work independently as well as part of a team.
