We are expanding our proposal operations and seeking a tech-forward Lead Proposal Coordinator: to manage high-quality bid submissions and strategic grant proposals:—leveraging AI tools like ChatGPT: to streamline content development and requirement analysis.
Job Summary:The Lead Proposal Coordinator is responsible for end-to-end management of construction bids and grant proposals. This role blends traditional proposal coordination with modern tools—using ChatGPT and AI-based platforms: to analyze RFP requirements, draft technical narratives, and maintain consistent, high-quality submissions. You'll lead collaboration between estimators, executives, and external partners to ensure timely, compliant, and competitive proposals.
Key Responsibilities:Manage proposal development for construction bids: (mechanical & demolition scopes) and grant opportunities: (public and private).
Analyze RFPs, RFQs, and grant solicitations—using AI tools (e.g., ChatGPT) to summarize requirements, identify critical deliverables, and generate outlines or draft content.
Draft and refine technical content including scope narratives, project profiles, corporate qualifications, and compliance responses.
Track proposal deadlines, manage submission calendars, and ensure timely delivery via portals (BuildingConnected, Procore, grants.gov, etc.).
Maintain and update bid templates, resumes, past project data, and boilerplate content using both manual systems and AI tools.
Register and maintain company presence on bidder platforms and GC prequalification databases.
Lead post-submission follow-ups, shortlisting communications, and feedback tracking.
Monitor grant databases for aligned opportunities and assist leadership in matching them with internal or partner capabilities.
Collaborate with executives to explore new uses of AI to improve proposal speed, accuracy, and customization.
Qualifications:3 years of experience in proposal coordination, estimating support, or grant writing—preferably in construction or related technical fields.
Knowledge of mechanical contracting and demolition: services required.
Experience writing or coordinating government or philanthropic grant proposals:.
Strong command of writing tools and modern AI assistants:, including ChatGPT, Grammarly, or other large language models.
Excellent organizational and writing skills with an eye for formatting and compliance.
Familiar with Microsoft Office Suite, Adobe Acrobat, and proposal platforms (e.g., BuildingConnected, SmartBid, grants.gov).

This is an on-site: role based in Landover, MD.
Monday through Friday, 8:00 AM – 4:30 PM.
Occasional overtime may be required during tight proposal or grant deadlines.
