Position Description
The Program Coordinator at GoggleWorks Center for the Arts plays a crucial role in supporting the administrative and operational functions of the center’s educational programs. This position is responsible for ensuring smooth communication between students, instructors, and staff, and maintaining organized processes for classes, workshops, and program logistics.
Reports to
The Program Coordinator reports directly to the Programs Manager.
Key Responsibilities
- Maintain and update class listings, calendars, and rosters, ensuring smooth communication between instructors, students, and staff.
- Coordinate scholarship placements and specialized welcome communications for scholarship recipients and private workshop participants.
- Support the preparation of contracts and schedules for instructors and educational programs.
- Assist with the preparation and distribution of term contracts to instructors under the Programs Manager's supervision.
- Assist with logistics and operations for key programs such as the After School Arts Program, Summer Camps, and Signature Events.
- Help design and implement community outreach initiatives to engage Reading residents; develop the relationship between GoggleWorks and the immediate community; and expand GoggleWorks' reach.
- Provide exceptional customer service to students, parents, and visitors, ensuring a welcoming experience.
- Facilitate evaluations for classes and workshops, gathering feedback for continuous program improvement.
- Other duties as assigned.
Qualifications
- Bilingual in Spanish and English is highly desired and rewarded.
- Strong attention to detail and a proactive approach to problem-solving.
- Experience in arts administration or education is preferred but not required.
- Experience working with diverse groups of people across various ages and backgrounds.
- Ability to work effectively as part of a team.
- Highly organized, with excellent time management skills and attention to detail.
- Proficiency with basic office software (e.g., Google Workspace, WordPress, Adobe, Microsoft Suite).
- Strong written and verbal communication skills.
- Ability to work a flexible schedule, including attending events on some nights and weekends. Expected to work at all GoggleWorks’ annual signature events: Iron Pour (April), Pumpkin Palooza (October), Handcrafted Holiday Market (December).
- Excellent interpersonal skills for interacting with the public, artists, vendors, and other staff members.
- Ability to manage multiple tasks and deadlines effectively.
