Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will be responsible for ensuring the smooth operation of our office, providing administrative support, and managing various office functions. They should also be proficient with Microsoft Office or similar software and have a basic understanding of business equipment and accounting principles. Casual work environment, full benefits after 90 day probationary period.
Duties
- Serve as the first point of contact at the front desk, greeting visitors and managing phone systems efficiently.
- Oversee daily office operations, ensuring a welcoming and productive environment.
- Manage calendars for team members, scheduling appointments and coordinating meetings. .
- Maintain organized filing systems for both physical and digital documents.
- Collaborate with management to improve office processes and enhance overall efficiency.
- Welcoming visitors: Greeting
- Managing communications: Answering phones, responding to emails, and managing incoming and outgoing mail
- Managing documents: Organizing, filing, and managing important and confidential documents
- Managing data: Maintaining spreadsheets, reports, and databases, and keeping records up to date
- Managing supplies: Ordering, stocking, and controlling office supplies and equipment
- Managing budgets: Helping maintain the budget plan and preparing expense reports
- Accounts receivable
- Creation of training documents

Requirements
- Proven experience in an administrative role or similar position.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Experience with supervising teams is preferred.
- Familiarity with payroll processes and human resources functions is a plus.
- Proficient in calendar management and scheduling software.
- Excellent communication skills, both verbal and written.
- Ability to work independently as well as part of a team.
- Proficient in using office equipment and technology, including computers, printers, and phone systems.
