POSITION SUMMARY:: The Legal Administrative Assistant will assist with administrative tasks to support the office and perform records management in accordance with the Firm’s policy, significantly enhancing the effectiveness of the firm. This position involves a wide range of responsibilities, including but not limited to maintaining and organizing legal files, drafting various legal documents, and effectively communicating with clients and other firm stakeholders
KEY QUALITIES:
- Communication Skills: Ability to document and present legal research and related information to supervising attorney(s) promptly.
- Technical Skills: Proficiency in using computers for legal research, and other legal tasks. Familiarity with software (e.g., Microsoft Suite) for organizing and maintaining legal documents.
- Interpersonal Skills: Ability to develop good relationships with clients and professionals, making clients comfortable sharing personal case information. Ability to work both independently and as part of a team with minimal supervision.
- Organizational Skills: Capable of managing multiple cases in a fast-paced environment with changing deadlines. Excellent organizational skills are essential.
- Research Skills:: Strong research and investigative skills for conducting legal research on relevant laws, regulations, and articles.
ESSENTIAL JOB FUNCTIONS: :
- Administrative duties include but are not limited to printing, scanning, uploading documents to the Firm’s case management software, incoming mail and distribution, etc...
- Electronically saves media mail (CD’s, USBs, etc.), processes and files documents under their respective client and matter numbers.
- Maintain the proper storage and maintenance of physical records.
- Assumes responsibility for maintaining the highest level of confidentiality of all firm records and files.
- E-filing of discovery requests per business needs of the office.
- Exercise knowledge of legal documents and terminology.
- Conduct expense reporting, billing, invoices, check requests.
- Assist with scheduling office space per client and attorney needs.
- Maintain and order supplies and keep supply, mail and records rooms neat and organized.
- Ensure proper appearance of office space, including conference rooms and visiting attorney offices including breakdown of workspace for departed employees.
- Office point of contact for Facilities and Real Estate Manager needs and firm office events.
- Coordinate maintenance of office equipment or building repairs as needed.
- Assist IT and office staff as needed for troubleshooting.
- New hire set ups (including but not limited to desk/workstation/office are setup and ready with supplies and computer equipment, office tour, parking/ID badges, etc.).
- Responsible for online shipping with FedEx, UPS, USPS and other vendors.
- Role requires being in the office Monday through Friday.
- Responsible for handling the office funds accordingly.
- Other duties as assigned.
- Receives incoming legal documents and conducts scanning based on priority
- Electronically saves media mail (CD’s, USBs, etc.), processes and files documents under their respective client and matter numbers
- Reviews scanned records, identifying essential deadlines and information to be noted by attorneys
- Maintain the proper storage and maintenance of physical records
- Assumes responsibility for maintaining the highest level of confidentiality of all firm records and files
- Perform administrative duties, including proofreading and editing legal documents for accuracy and clarity
- E-filing of discovery requests, responses to opposing counsel, and motions
- Exercise knowledge of legal documents and terminology
- Conduct expense reporting, billing and dictation
- Assist with calendaring and deposition scheduling, as needed
- Maintain and order supplies and keep supply, mail and records rooms neat and organized
- Ensure proper appearance of office space, including conference rooms and visiting attorney offices including breakdown of workspace for departed employees
- Office point of contact for Facilities and Real Estate Manager needs
- Coordinate maintenance of office equipment or building repairs as needed
- Assist IT and office staff as needed for troubleshooting and new hire setups
- Assist with the coordination of firm and office events
- Other duties as assigned
REQUIRED SKILLS/ABILITIES & EXPERIENCE: :
- Associate’s degree or equivalent legal support experience of a minimum of 2 years working in a law firm.
- Clear communication and information exchange in English.
- Strong organizational and time management skills.
- Ability to observe and assess data and documents in printed form and on computer screens.
- Willingness to work beyond normal hours.
- Team-oriented with the ability to work independently within general guidelines and minimal supervision.
- Ability to respond and maintain confidentiality of information or adversarial inquiries.
