Goldberg Segalla, a dynamic and collaborative law firm with a national presence, seeks a highly motivated and organized individual to join its team as an Office Services Manager in its Buffalo, NY office. The Office Services Manager is responsible for managing the Office Services and Mail Services functions of the firm throughout all locations within Goldberg Segalla’s footprint. This role will interact with all levels of the firm and will work closely with the Director of Operations on strategic initiatives.

The annual salary range for this position is $65,000 - $80,000. Actual pay may be adjusted based on experience and other job-related factors permitted by law. This position also offers bonuses, and a full benefits package. Responsibilities::
Strategic Oversight::
- Provide strategic oversight and manage the Office Services and Mail Services teams.
- Act as the primary liaison to landlords and subtenants for day-to-day operations.
- Manage vendor relationships with office and mail service providers ensuring compliance with office protocols and procedures.
- Assist with office relocations and remodels, ensuring minimal disruption to daily operations.
Office and Mail Services::
- Manage procurement of office supplies, furniture, fixtures, and equipment.
- Manage parking and security access for all employees and visitors.
- Supports company safety program.
- Prepare specifications and bid documents for physical space projects, including cost estimates.
- Ensure maintenance tasks are completed in a timely manner.
- Oversee mail operations, ensuring accurate scanning of incoming mail, processing of outgoing mail requests, and completion of print production requests.
- Develop policy and process documentation.
- Manage budget and expenses, ensuring cost-effective operations.
- Address escalated issues with professionalism and a focus on finding solutions.
- Other duties as assigned.
Supervisory Responsibilities:
- Recruit, interview, hire, and train new staff.
- Conduct routine supervision and team meetings with direct reports.
- Oversee the daily workflow of the team.
- Provide constructive and timely performance evaluations.
- Actively coach direct reports to maintain and enhance knowledge, skills and abilities.
- Complete necessary manager administrative duties, including approving time off requests and approving timecards.
Experience/Requirements::
- 5 years of relevant working experience with 3 years of supervisory experience OR a combination of education and experience commensurate with the requirements of this position.
- Bachelor’s degree in business or related area preferred
