Goldberg Segalla, a dynamic and collaborative law firm with a national presence, seeks a highly motivated and organized individual to join its team as a Workers’ Compensation Medical Records Clerk in its Buffalo, NY office. This job is responsible for assisting with various tasks associated with securing authorizations, provider lists, medical records, employment records, motor vehicle accident records, Union records, and insurance claim records at the request of the client by working with and providing clerical support to the paralegals.
ESSENTIAL JOB FUNCTIONS: :
- Ability to handle pressure, interruptions and multiple tasks with frequently changing priorities and deadlines.
- Proficient in the use of Microsoft Office Programs including Word, Outlook, TEAMS, Calendar, and Excel.
- Knowledge of Workers’ Compensation legal practice, legal terminology, medical and insurance claims terminology, and billing.
- Organize and maintain documents in the firm's management system.
- Manage and maintain incoming mail.
- Secure and save medical records to the document management system.
- Process OC-110a forms with the Workers’ Compensation Board.
- File/upload medical records with the Workers’ Compensation Board.
- Process invoices.
- Handle records received letters per CPLR § 3120(3).
- Save email correspondence to the document management system.
- Assist paralegals with drafting documents including subpoenas and correspondences for records
- Follow up on outstanding requests.
- Communicate via telephone and electronic communication with claimant’s counsel, physicians, and medical facilities to secure records.
- Conduct internet searches for valid mailing addresses for re-service of undeliverable subpoenas.
- Draft end-of-day reports outlining completed tasks.
- Other assigned duties.
REQUIRED SKILLS/ABILITIES & EXPERIENCE: :
- Associates degree preferred, 2 years of administrative experience.
- Clear communication in English.
- Self-motivated, able to meet deadlines under pressure.
- Attentive to detail.
- Strong organization and time management skills.
- Observe and assess data/documents in print and on screens.
- Available for special projects beyond normal hours.
- Team player and independent worker with minimal supervision.
- Maintain confidentiality.
- Respond to sensitive inquiries professionally.
- Associate’s degree or higher.
- Positive attitude.
- Excellent writing and telephone communication skills.
- Ability to multitask and prioritize workload.
- Work in a fast-paced, challenging environment.
- Operate office equipment (phones, computers, printers, copiers, fax machines, etc.).
- Analyze legal documents for accuracy.

This role offers an hourly salary and bonus opportunity. The hourly salary range for this position is $19.00 to $21.00. Actual pay may be adjusted based on experience and other job related factors permitted by law. This position also offers a full benefits package.
