What are the responsibilities and job description for the Scheduling Coordinator position at GOLDEN DAYS SOCIAL SERVICES?
What you do:
- Order fulfillment for all service lines (scheduling, approximately 60% of your day)
- On-boarding/training new caregivers
- Assist with retention and incentive programs for our caregiver staff
- Communicate with our clients to receive feedback
- Provide full support to caregiver team including check-ins, reviews, performance improvement plans
- Help to coordinate, run and manage ongoing employee meet-ups, trainings and events
- Consistent use of internal tools to include scheduling, communication notes, order creation, family/employee profile updates

Key Responsibilities
- Schedule and confirm patient appointments using computerized scheduling systems. Provide pre-employment, and patient onboarding instructions.
- Manage clients and caregiver appointment and blackout calendar
- Manage incoming calls, addressing patient inquiries and direct calls appropriately. Verify insurance and ensure compliance with referral requirements.
- Maintain accurate patient records and documentation in the EVV, ensuring all information is up-to-date.
- Assist with administrative tasks as needed.
- Utilize phone and EVV systems effectively to communicate with patients and other healthcare professionals. Provide back up coverage for CAREGIVER.
- Ensure compliance with HIPAA regulations regarding patient confidentiality and data protection.
- Communicate effectively with clients, caregivers, and other team members to ensure smooth scheduling and coordination of care.
- Monitor and adjust schedules as needed to accommodate changes in client requirements or caregiver availability.
- Maintain accurate records of schedules, client preferences, and caregiver qualifications.
- Work closely with the management team to address any scheduling or staffing issues that may arise.
- Provide exceptional customer service to clients and caregivers regarding scheduling inquiries and changes.
- Ensure compliance with company policies, procedures, and regulatory requirements related to scheduling and staffing.
- Coordinate schedules for interpreters to ensure optimal coverage for clients and caregivers.
- Monitor and update scheduling software to reflect accurate availability of interpreters.
- Handle last-minute changes and cancellations with professionalism and efficiency.
- Maintain records of assignments, interpreter performance, and client feedback.
- Collaborate with the recruiting team support the operational flow of services
- Cover open shifts in case of an emergency.
- Recruiting staff/aides
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Proven experience in scheduling, preferable in a healthcare or home care setting.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in computer systems and scheduling software.
- Ability to work independently and collaboratively in a fast-paced environment.
- Understanding of HIPAA regulations and confidentiality requirements.

- Proven experience as a Scheduler, Administrative Assistant, or in a similar role.
- Strong understanding of scheduling software and proficiency in Microsoft Office Suite.
- Excellent communication and interpersonal skills, with a customer service focus.
- High level of organizational skills with the ability to multitask and prioritize effectively.
- Ability to work independently and as part of a collaborative team.
- Problem-solving skills and the ability to remain calm under pressure.
Requirements
- Previous experience in HOME HEALTH Agency setting preferred.
- Strong administrative skills, with proficiency in computer systems and software applications.
- Excellent phone etiquette and communication skills to interact effectively with patients and staff.
- Ability to manage multiple tasks efficiently while maintaining attention to detail.
- Ability to work collaboratively with an office team in and in person setting.
