As we continue to grow, we are seeking a proactive, resourceful, and service-oriented Office Manager/Executive Assistant to lead our day-to-day office operations and provide key administrative support to the CEO. This is a highly visible, people-focused role best suited to someone who brings enthusiasm, ownership, and a passion for creating a well-organized, positive workplace.
Position Summary:
This is a part-time, on-site role (3 days/week) that combines executive support with office operations responsibilities. The ideal candidate will bring experience from small, fast-paced company environments, a roll-up-your-sleeves attitude, and a natural ability to bring structure and efficiency to a growing team. You’ll be the go-to person for keeping the office running smoothly while supporting the CEO with day-to-day administrative needs.
Key Responsibilities:
Office Management (Approx. 60%)
- Provide exceptional “concierge-level” attention to colleagues and visitors.
- Create and maintain a daily atmosphere of enthusiasm, professionalism, and resourceful positivity.
- Lead and manage office facilities and coordinate with key vendors (e.g., security, cleaning crew, building services).
- Schedule and coordinate maintenance vendors to ensure the office remains safe, clean, and operational.
- Oversee procurement of office supplies, furniture, and equipment; manage related budgets.
- Answer incoming phone calls and direct them to the appropriate team members.
- Handle all incoming and outgoing mail and packages.
- Process and track financial transactions, including receiving and depositing checks.
- Maintain accurate records of expenses, receipts, and office budgets.
- Use sound discretion to respond to safety or security concerns and escalate appropriately.
- Manage and oversee maintenance projects and improvements to the physical office space.
- Support internal communications, team events, and onsite meetings.
Executive Support (Approx. 40%)
- Provide administrative support to the CEO, including calendar management, meeting scheduling, and occasional travel coordination.
- Prepare meeting materials, presentations, and summaries.
- Track and follow up on action items and priorities.
- Serve as a liaison between the CEO and internal/external stakeholders.
- Assist with special projects and confidential tasks as needed.
Qualifications:
- 5 years of experience in an office management and/or executive assistant role, ideally in a small company or startup setting.
- Highly organized and proactive, with a roll-up-your-sleeves mentality.
- Excellent interpersonal and communication skills, with a warm, professional presence.
- Strong judgment and discretion, especially when handling confidential information or unexpected issues.
- Ability to identify process improvements and implement them independently.
- Proficient in Microsoft Office Suite, Google Workspace, and common scheduling tools.
- Comfortable working independently in a fast-moving environment.
- Must be available to work on-site in Culver City, CA three days per week.
Work Schedule & Compensation:
- Schedule: Part-time, on-site 3 days per week (Tuesday, Wednesday and Thursday).
- Compensation: Competitive hourly rate, commensurate with experience.
