Job Title: Executive Sales Assistant

Reports To: Director of Commercial Sales

Location: San Jose, onsite

Job Summary

We are seeking a highly motivated and organized Executive Sales Assistant to provide critical support to our Head of Sales. This role will play a key part in driving sales success by assisting with the management of key accounts, supporting sales team training, and contributing to recruitment efforts. The ideal candidate is a proactive, tech-savvy individual with excellent communication and interpersonal skills. Responsibilities:

  • Sales Operations:

  • Manage key accounts, including scheduling meetings, preparing presentations, and tracking progress.

  • Assist in the development and implementation of sales strategies and campaigns.

  • Prepare sales reports and analyze sales data to identify trends and areas for improvement.

  • Sales Team Support:

  • Manage the Sales Coordinators (SC) throughout CA assisting them with organization, CRM and HubSpot Training, sales training support, data entry and office management.

  • Conduct training sessions for sales team members on CRM usage (HubSpot), sales processes, and best practices.

  • Provide ongoing support to sales team members regarding CRM usage, data entry, and reporting.

  • ZoomInfo management/training

  • Keeping P&P documentation up to date.

  • Booking Conferences and travel for sales for shows sales reps will exhibit at.

  • Recruitment Support:

  • Assist in the recruitment process, including screening resumes, scheduling interviews, and coordinating onboarding activities.

  • Develop and maintain relationships with potential candidates.

  • Administrative Support:

  • Manage travel arrangements and expense reports for the Head of Sales and others as requested.

  • Coordinate meetings and events, including scheduling, logistics, and materials.

  • Work with different departments to make sure sales processes are streamlined and operating efficiently. Communicate to Sales Director if processes need to be addressed.

  • Handle general administrative tasks as needed.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role supporting sales professionals. 5 years' experience preferred.

  • Proficiency in CRM software, particularly HubSpot.

  • Excellent communication and interpersonal skills, both written and verbal.

  • Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.

  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Tech-savvy with a strong understanding of technology and the ability to quickly learn new software and tools.

  • Highly professional and discreet with the ability to handle confidential information.

  • A proactive and solutions-oriented approach with a strong work ethic.

  • Experience in the telecommunications industry, particularly within the radio and systems sector, is a strong plus.

  • Bachelor's degree strongly preferred.
