Our client is seeking an Executive Assistant to join their team! In this role, you'll assist the Chief Human Resource Officer, Chief Financial Officer, and Chief Information Officer with various administrative tasks, project coordination, customer service, and occasional reception duties. Key responsibilities for this position include :
- Providing proactive and anticipatory management of calendars as a trusted partner through coordination of priorities and resolving scheduling conflicts with precision and confidentiality.
- Coordinating meeting arrangements and logistics : booking appointments, reservations, travel, meeting space, technology, and document needs, etc.
- Managing the content of email inbox to assist in the prioritization of their time and focus.
- Prioritizing conflicting needs and proactively following through on projects to completion.
- Composing, preparing, reviewing and / or modifying communications, presentation materials, reports, spreadsheets, and agendas.
- Drafting and sending correspondence as necessary.
- Taking ownership of projects, demonstrating initiative, and coordinating to ensure seamless execution and timely delivery of deadlines, deliverables, and communication.
- Fostering a culture of innovation by utilizing efficiency, encouraging creativity, and exploring new approaches for enhancement and productivity.
- Collaborating across departments and companies to ensure alignment on projects and initiatives.
- Maintaining open lines of communication, providing regular updates on progress, milestones, and challenges.
- Facilitating a welcoming and inclusive environment for guests, clients, and team members.
- Assisting the Director of Administrative Services, ensuring all aspects of meetings and events have been thought through and implemented through a lens of service excellence.
- Engaging in open communication with the Director of Administrative Services pertaining to building issues or concerns, while maintaining the kitchens and gathering areas.
