Position: Document and Order Processing Specialist (Delivery Department)
Primary Responsibilities:
- Order Processing - Factory Orders
- Create purchase orders (POs) in GHE QB and generate small factory sales orders (SOs) in GHI QB, ensuring proper calculations of quantities and standard lead times.
- Record orders in the GHE and GHI main sheets.
- Confirm packaging requirements and stamp with the preparer's seal and signature.
- Forward orders for review to designated auditors, ensuring all categories, quantities, and lead times align with expectations. Address discrepancies promptly.
- Archive POs and packing slips after completion and issue receipts in GHE QB. Upon receiving work orders, match them with original SOs and issue invoices in GHI QB.
- Order Processing - External Purchases
- Create POs in GHE QB and contact external suppliers for quotations and freight costs to confirm cost-effective purchasing.
- Notify Ann of product dimensions and weights for shipment arrangements.
- Address delays or shortages within two days and notify CSR for urgent claims, expediting shipments when necessary.
- Update order and delivery information in GHE and Inbound Logistic Mainsheets, ensuring inventory checks upon arrival.
- Verify supplier invoices, register in EKP, and request payment processing.
- Archive POs and packing slips and issue receipts in GHE QB after order completion.
- Project Orders
- Collaborate with project sales personnel to confirm material accuracy, inventory, lead times, production feasibility, delivery logistics, and transportation methods.
- Process orders in GHI QB and follow the same workflow as factory orders.
- Maintain project materials inventory and update related records.
- Sample Orders
- Assist sales and project sales staff with free sample requests, ensuring proper completion and submission of sample application forms.
- Retrieve samples from the warehouse, provide packaging and shipping instructions, and record shipping information for coordination.
- Record sample consumption every 15–30 days and inform warehouse manager for WMS system updates.
Key Competencies and Skills:
- Proficiency in QB order management systems.
- Strong organizational skills to maintain records and ensure timely processing.
- Effective communication to coordinate with sales, suppliers, and internal departments.
- Attention to detail for accurate documentation and order tracking.
Preferred Experience:
- Experience in supply chain management, logistics, or order processing.
- Familiarity with manufacturing workflows.
- Cabinets industry background perferred.

Pay: $19.25 - $25.00 per hour
