Job Title: Landscape Branch Administrator

Job Summary:

The Landscape Branch Administrator is responsible for overseeing the administrative operations of the landscaping branch, ensuring that office functions are completed efficiently, supporting management with daily operations, and ensuring excellent customer service. This role requires strong organizational, communication, and multitasking skills.

Key Responsibilities:

  1. Office Management:

    • Organize and maintain office systems, files, and documents.
    • Ensure proper inventory control of office supplies, tools, and equipment.
    • Handle incoming phone calls, emails, and other communication from customers, vendors, and staff.
    • Schedule meetings, appointments, and dispatches for field teams.
  2. Customer Service:

    • Serve as a primary point of contact for customers, handling inquiries, complaints, and service requests.
    • Maintain positive relationships with clients and ensure customer satisfaction.
    • Assist in processing service orders, contracts, and estimates for customers.
  3. Billing and Financial Administration:

    • Assist in preparing invoices for services rendered.
    • Track and record payments, account receivables, and expenses.
    • Work with the finance department to ensure accurate billing and financial reporting.
  4. Staff Coordination:

    • Coordinate scheduling for landscaping teams, ensuring resources are allocated effectively.
    • Assist with onboarding and training new employees in administrative tasks.
    • Provide administrative support to branch management and field workers.
  5. Project Tracking and Reporting:

    • Track ongoing landscaping projects to ensure timelines and budgets are adhered to.
    • Prepare and submit reports on project progress, staff performance, and other branch metrics.
    • Assist management in creating schedules, plans, and operational workflows.
  6. Compliance and Safety:

    • Ensure that all operations comply with safety standards and legal requirements.
    • Keep records of safety protocols, certifications, and training programs for staff.
    • Assist in maintaining the branch’s compliance with environmental and local regulations.
  7. Communication:

    • Maintain effective communication between the branch, head office, and clients.
    • Participate in team meetings and relay relevant updates to all stakeholders.
  8. General Administrative Support:

    • Perform other administrative tasks as assigned by the branch manager or higher-level staff.
    • Handle special projects, such as marketing initiatives or seasonal planning.

Qualifications:

  • Education: High School diploma or equivalent required; Associate’s or Bachelor’s degree in business administration, management, or related field preferred.
  • Experience:
    • At least 2 years of experience in office administration, preferably in a landscaping, facilities management, or service-based industry.
    • Experience in customer service and office management.
  • Skills:
    • Strong organizational and multitasking skills.
    • Proficient in MS Office Suite (Word, Excel, Outlook, etc.) and general office equipment.
    • Knowledge of project management software and CRM systems is an asset.
    • Strong communication skills, both verbal and written.
    • Ability to handle sensitive information with confidentiality and professionalism.

Physical Requirements:

  • Ability to work in an office environment with occasional physical demands (e.g., filing, lifting boxes, etc.).
  • May require occasional outdoor work or site visits, depending on branch needs.

Work Environment:

  • Full-time position, typically Monday to Friday.
  • Office-based with occasional visits to landscaping job sites or client locations.

Compensation:

  • $55,000 to $75,000 based on exp
  • Benefits to include health insurance, paid time off, retirement plans, and performance incentives.
