Goldman Properties is seeking a detail-oriented and proactive Sales and Events Specialist to provide support in the planning and execution of our museum events. The ideal candidate will assist in event logistics, Run of Shows (ROS), preparation of Banquet Event Orders (BEOs), production needs, vendor coordination, and general event management duties.

Compensation:
$24.00 an hour Incentive program
Essential Functions:
Event Production Support-
- Assist in the planning and coordination of museum events, including galas, private events, public programs, and special exhibitions.
- Collaborate with the Sales Lead & Marketing Department to implement event timelines, venue setups, and production schedules.
- Coordinate with internal teams (e.g., catering, marketing, curatorial, security) to ensure all event details are covered.
- Help organize, setup, and manage event materials, signage, décor, and other event essentials.
BEO (Banquet Event Order) F&B Management-
- Assist in preparing and distributing Banquet Event Orders (BEOs) for internal teams and external vendors, ensuring all event details are accurately documented.
- Track changes and updates to BEOs, ensuring that all revisions are communicated to relevant stakeholders in a timely manner.
- Support the Sales Lead & Marketing Department in managing event budgets and ensuring BEO details are aligned with the event's financial and experiential goals.
Vendor Coordination-
- Liaise with vendors (e.g., caterers, AV technicians, decorators, and entertainment) to confirm details, deliverables, and timelines.
- Assist in the scheduling and coordination of vendor arrivals, setups, and breakdowns for events.
- Monitor vendor performance on event day to ensure adherence to the event schedule and resolve any issues that arise.
Event Execution & On-Site Support-
- Provide on-site support during event setup, ensuring that all event components are in place according to plan.
- Assist in managing event staff and volunteers, providing direction as needed.
- Ensure that all logistical details are handled during the event, and assist in guest registration, catering, signage, and troubleshooting any last-minute changes.
- Help manage guest experience, ensuring that the event runs smoothly, and guests are satisfied.
Administrative Support-
- Maintain detailed event files, including BEOs, contracts, and communications, ensuring all documents are organized and accessible by all stakeholders.
- Assist with event-related correspondence, including email confirmations and follow-up communications with clients and vendors.
- Prepare event reports, tracking attendance, budgets, and post-event evaluations.
- Assist with post-event clean-up and organization, ensuring all materials are accounted for.
Requirements
- 1-2 years of experience in event production or coordination, preferably in a museum, nonprofit, or fine-art gallery setting.
- Familiarity with Banquet Event Orders (BEOs) and event management software (such as TripleSeat, MailChimp, Social Tables, or similar platforms).
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with vendors, clients, and internal teams.
- High level of attention to detail and the ability to troubleshoot event issues on the fly.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work well in a fast-paced environment, remaining calm and organized under pressure.
- Flexible and adaptable, with a willingness to work evening and weekend hours as needed for events.
Physical Requirements:
- Ability to lift and carry event materials, signage, and décor (up to 25 lbs.).
- Ability to stand or walk for extended periods during event setups and execution.
- Occasional lifting, bending, and carrying of boxes and event equipment.
Salary : $24
