EVENT COORDINATOR
FLSA Status: Non-Exempt
Job Summary The Event Coordinator is responsible for assisting the Director of Sales and the Event Manager in the sales process, execution of club functions and catered events including meetings, banquets, and outings. The successful candidate is highly organized, with the ability to manage changing priorities and frequent interruptions with a sense of urgency and high level of accuracy. Must have the ability to maintain guest satisfaction under pressure or deadlines. Will have exceptional interpersonal and communication skills. This position requires multi-departmental interaction and coordination with an emphasis on participation and organization. The successful candidate will be able to complete and follow through with tasks independently and as a team. Must be detail-oriented, patient, punctual, well groomed, and communicate well with a positive attitude.
Job Tasks (including but not limited to)
- Perform general office duties to support the Sales and Banquet team (e.g., filing sending emails, typing, faxing and copying).
- Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, or banquet event orders).
- Follow up on banquet and event inquiries.
- Assist with event coordinating and outlining all event details to the staff, assist with pre-event details such as place cards, menus, and centerpieces, and assist with promoting and marketing club functions.
- Plan, promote and generate enthusiasm and interest for the Clubs golf and social programs; coordinates the efforts of the Clubs professional staff and members.
- Oversee coordination of 20 person or less catered meetings and events.
- Assists in overseeing cleaning and maintenance of meeting space and corresponding heart of the house areas.
- Assist in overseeing furniture and equipment maintenance and that inventory levels are kept in accordance to guidelines.
- Research and analyze new products, pricing and services of competition.
- Conduct daily walk-through of banquet floor to drive client satisfaction and maintain quality standards.
- Create an atmosphere in all event management operations areas that meets or exceeds guest expectations.
- Serve as a liaison for Club and Club personnel.
- Attend Club events and programs as required.
Education/Experience
- High School diploma required, four-year college degree preferred.
- One to three years of customer service in a similar setting preferred.
- Possesses excellent organizational, problem solving, communication, listening, and people skills.
- Fun, energetic and positive personality.
- Ability to follow verbal and written directions.
- A positive attitude and ability to work with others as a team.
- Fast learner, capable of multitasking in a fast-paced environment.
- Advanced knowledge of computer and Microsoft Office is required.
Physical Requirements
- Continuous sitting, repetitive actions, with intermittent periods of walking and stairclimbing.
- Ability to lift and carry up to 20 lbs. on an occasional basis.
- Ability to perform repetitive hand & arm movements and simple grasping constantly; pushing & pulling, squeezing and overhead reaching frequently.
- Must be able to twist, bend, kneel, and squat frequently.
