Position Overview : The Chief Financial Officer (CFO) is principally responsible for maintaining excellence across all finance and accounting-related functions, as well as IT, HR, Risk Management, and Facilities. This person ensures the current and future fiscal health of the organization, to include safeguarding the strength of the organization's financial reputation, managing all financial functions and regular reporting, and verifying the appropriate use of organizational budgets, cash management and spending. This role leads efforts in improving and implementing GoochlandCares' accounting policies and procedures, identifying financial needs, analyzing financial projections, risks, and opportunities.
This position reports to the Chief Executive Officer, directly supervises a financial associate, and oversees the effective use of consultants and vendors as required.
Essential Job Functions
Financial Management
- Ensures proper maintenance of all bank accounts and appropriate balances therein; regularly reconciles all bank records and transactions, resolving any discrepancies.
- At least monthly, monitors, analyzes, and predicts organizational cash flow. Informs the CEO and others as necessary, of any notable discrepancies from budgeted indicators.
- Verifies proper maintenance of all investment and savings accounts, ensuring compliance with endowment / investment policies developed and approved by the Board of Directors and its Finance Committee.
- Completes regular closing of each month (by the 15th of the month) and quarter throughout the year, providing sound quarterly financial statements to the Finance Committee no more than three (3) weeks after the end of each quarter.
- Drives the accurate generation of monthly revenue and expense projections, seeking input from other senior leaders and supervisors.
- Develops and makes certain that proper internal controls are in place, and daily oversees cash management, accounts payable, and accounts receivable for proper internal control purposes.
- Seeks to improve internal processes and systems by bringing forth new tools and technology. Continuously assesses and improves financial systems, leveraging technology to streamline processes and enhance efficiency.
- Ensures compliance with GAAP, local, state, and federal laws and regulations and reporting requirements.
Budgeting, Auditing, and Taxes
Leads preparation of the annual budget of the organization in conjunction with management and presents it to the Finance Committee and Board of Directors for approval. Inputs and regularly maintains a monthly budget inside QuickBooks software.Acts as the liaison between the organization and its independent auditors and provides auditors with appropriate information in a timely manner so that audits may be completed within the guidelines imposed by outside stakeholders.Prepares and files the Federal Form 990 and any other federal or state-required tax forms in a timely manner.Human Resources and Payroll
Oversees all payroll operations for the organization, including maintenance and retention of wage information, recording of hours worked, generating paychecks on time, filing appropriate tax forms and payment of required taxes, quarterly reporting to the IRS, and other annual tax forms. Partners with payroll provider for payroll-related matters.Ensures payroll provider prepares and files appropriate tax forms, payments, and W-2s.Provides accurate vendor data for 1099's to be filed timely each year, including maintaining W-9 records for all vendors.Works with Human Resources to administer the organization's retirement plan, short-term disability insurance, worker's compensation plan and other cross-departmental benefits.Risk Management and Facilities
Reviews and maintains all insurance policies and associated records for the organization.Serves as GoochlandCares' Title VI Officer.Collaborates with HR Director to resolve all workers' compensation matters, including claims and critical incident reports.Ensures proper policies and procedures are in place as required by insurance policies and / or grant requirements.Collaborates with Chief Operations Officer on administration of facilities-related needs.Grant Financial Management & Oversight
Provides financial information necessary for all grant reports.In collaboration with other staff, prepares financial information for and files quarterly grant reports for local and state government funding sources.Leadership and Administration
Upholds the highest standards of trust, transparency and integrity inside and outside the organization.Provides day-to-day support to direct reports and consultants to help promote transparency and accountability, ensuring the Finance and Administration department operates effectively to support the mission of GoochlandCares.Participates in strategic planning to identify and prioritize organizational goals and objectives and reviews regularly to track implementation and progress.Serves as a member of the senior leadership team (SLT) to build a strong culture and deliver quality services to all stakeholders.Completes other duties as assigned.

Four-year degree from an accredited college or university with a focus on Finance and / or Accounting is required.5 years of accounting experience in a nonprofit organization with a thorough understanding of fund accounting and GAAP for nonprofit organizations, including endowment accounting and management and thorough understanding of balance of resources and allocation is required.3-5 years of experience in administering payroll is required.1-3 years of experience using QuickBooks is required.CPA preferred, or related experience.Experience with grant management preferred, ensuring smooth and timely grant processing while monitoring the spending on grants and ensuring compliance.Proficiency with preparing and presenting financial information to internal and external constituents and explaining the details of that information.Technical Skills
Advanced proficiency with the Microsoft suite of products (including Excel, SharePoint, and Outlook) and QuickBooks.Past experience preferred with integrated interface between QuickBooks and donor management software.Physical Requirements and Environmental Conditions :
Must be able to lift up to 20 pounds.Prolonged periods of sitting, standing, typing, and talking.Working Location
Fully onsite at 2999 River Road West, Goochland, VA, with the ability to work remotely for limited hours.Travel Requirements :
