Job Summary:
Provide clerical and clinical support for busy physician practice. Must display flexibility to cover front desk, scheduling and assist with patient flow.
Essential Job Duties:
- Welcomes with greeting, patients and visitors; answers or refers inquires; maintains the reception area. Optimizes the patient experience, provider time and treatment room utilization by scheduling appointments in person or by telephone. Keeps patient’s appointments on schedule, informing clinical staff and the patient of any delay.
- Protects patients’ rights by maintaining confidentiality of personal and financial information. Registers patients. Maintains patient accounts by obtaining, recording and updating personal and billing information; collects and records patient payments by accurately inputting all data into the EMR.
- Responsible for cash drawer funds assigned and balancing the funds by performing end of day reporting; recording deposits and balancing the collection of credit card payments.
- Answers incoming phone calls consistently using proper telephone etiquette, utilizing the call features in the EMR and routes messages accordingly to ensure all patients’ needs are met.
- Makes outgoing calls to insurance companies; utilizes insurance websites for pre-certification, authorization, verification, or member eligibility when available. Determines if client’s insurance is a part of the provider network for highest reimbursement possible.
- Manages the incoming referral work queue, contacts patients and schedules appointments timely. Document appropriately in-coming pre-authorizations from insurance into the referrals.
- Communicates with providers and clinical staff to provide additional medical information.
- Facilitates the sorting of the fax work queue; printing documents requiring provider signatures; send records to pre-indexing.
- Assists physician during patient examination as requested by provider.
- Schedules patient with follow up activities to include; coordinate scheduling of procedure; give procedure prep and explain instructions. Notify the procedures to GS department; rescheduled procedures as needed.
Secondary Job Duties That May be Reassigned:
- Gets and distributes incoming, outgoing and inter office mail.
- Anticipate needed supplies; placing Lawson orders for office supplies and equipment; verifying receipt of ordered supplies.
- Process medical record requests and coordinates the completion and the collection of forms.
- Contributes to team effort by completing other duties as assigned.
Job Specifications:
- Education: AS in Business or related field preferred.
- Experience: 3-5 years previous clinic patient care setting. Experience in computerized scheduling, document maintenance and HER preferred.
