Job Summary :
The Staffing Coordinator is responsible for the development and coordination of the clinical staffing plan every 4 hours or more frequently as needed. This role includes scheduling, allocation of staffing resources, communication, data entry and validation, and creation of generating reports and documents. The Staffing Coordinator must maintain files and may be assigned special projects from time to time.
Responsibilities
Essential Job Duties :
- Provide oversight and coordination (allocation and re-allocation) of staffing resources shift to shift. Accepts requests for staffing resources and communicates staffing plan to all involved persons.
- Evaluates staffing plans for the assigned shift with each unit charge nurses. Assists change nurses in assessment of acuity and required staffing mix.
- Assists staff in the Staffing Center and designated unit(s) with the alignment of their work schedule and orientation to meet appropriate system-wide expectations.
- Provide Staffing Center PCT and or Safety Assistant assistance with participation in interviews, coordination of orientation, and aids in ensuring all onboarding requirements meet regulatory standards, as well as hospital policy.
- Assists with set up of scheduling application for each employee of Staffing Center or designated department.
- Reconciles scheduling application with timecards and ensures accuracy.
- The Staffing Coordinator will promote and cultivate positive relationships with staff and unit department leaders to support staffing operations.
- Gathers necessary information / data timely and prepares data for reporting and appropriate distribution.
- Completes and maintains department policies, procedures and processes and human resources documents as requested.
- Answers routine questions regarding operations, policy, procedure, or processes.
- Answers telephone and processes messages in a professional and polite manner.
- Collects and records employee call-in data in a confidential manner. Provides necessary documents to unit leaders as needed when employee attendance or tardiness has reached thresholds identified in our Attendance policy.
- Establishes, revises, and maintains department filing system.
- Manages department communication and correspondence, including intra- and inter- departmental communication.
- Monitors office supplies and places supply orders in the order system, tracks, and follows up on those orders.
- Be proficient in utilizing electronic medical record and other software programs necessary to facility data keeping and analyzation.
- Provides written / verbal communication when requirements are not met, including but not limited to missing schedule requirements, missing immunizations, signing of documents or lack thereof, and any other necessary information.
