DEFINITION OF POSITION:
Position is responsible for day to day operations in Referral, Reception/Scheduling, Medical Records and Group admitting departments. Acts as customer service liaison for staff and patients in the Good Shepherd Medical Group Clinic (GSMG) in accordance with HIPAA, governmental and other regulatory standards. Is a member of the GSMG management team and as such facilitates development of department mission, goals, budgets, policies, procedures, and work standards. Compiles and analyzes data, prepares and presents statistical information on department performance, productivity, activity, and budget to administration. Uses TQM methods to improve performance and processes. Selects, orients, trains, and evaluates clinic staff in designated areas. Ensures training and development for clinic office staff. Demonstrates clerical skills through job performance. Is trained as IT super user for all clinic modules and works closely with IT to train staff, troubleshoot issues, provide and test possible solutions to correct problems etc within clinic EPIC modules. Helps to ensure smooth transitions during software updates. Performs other related duties as assigned.

- Recruit, hire, train, and supervise clinic staff.
- Conduct regular performance evaluations and provide feedback to ensure optimal team performance.
- Foster a positive work environment that promotes collaboration, professionalism, and continuous learning.
Provider Schedules:
- Coordinate schedules, provider availability, and patient appointments to optimize clinic workflow and ensure efficient use of resources.
- Manage provider schedules to minimize wait times for patients while maximizing clinic productivity.
Workflows Management:
- Develop and implement standardized workflows and protocols to streamline clinic operations and enhance patient care delivery.
- Identify inefficiencies in workflows and implement solutions to improve clinic efficiency and patient satisfaction.
Liaison Between Day Surgery and Clinic:
- Facilitate seamless communication and collaboration between day surgery and clinic staff to ensure coordinated patient care.
Staff Education:
- Assist in the development and implementation of staff education programs
- Provide ongoing support and guidance to staff members to enhance their skills and knowledge.
Quality Assurance:
- Monitor and evaluate clinic performance metrics, surgical outcomes, and patient satisfaction to identify areas for improvement.
- Implement quality assurance measures to maintain high standards of patient care and safety.
Performs other related duties as assigned.
Qualifications:
Education:
High School graduate or GED required. College education desired.
Experience:
Minimum of five years progressively responsible customer service experience with responsibility for training, assigning and reviewing work and handling disciplinary actions; minimum of two years receptionist experience in a clinic setting.
Knowledge:
Knowledge of Referrals, Reception, Scheduling, Medical Records and Lab Admitting tasks. Knowledge of customer service concepts and clinic policies. Knowledge of business methods including productivity/workload analysis, and scheduling.
Skills:
Skills in the effective management of staff. Skills in excellent customer service, ability to role model and instruct staff; create and maintain a pleasant atmosphere and interactions. Skills to properly collect and analyze productivity data, provide quality improvements, ensure smooth operations daily and maintain appropriate staffing.
Physical Requirements:
Must be able to bend, stoop, reach and occasionally lift 25 pounds or more. Frequent sitting and/or standing throughout the day required.
Working Conditions:
Internal, well-lighted, ventilated work area. Work is performed in a busy office environment and requires both desk and counter work subject to a rapid pace, multiple stimuli, unpredictable environment and critical situations. There is frequent contact with employees, public and outside agencies, with possible exposure to infection, contagious disease and hazardous materials. Continual patient contact may involve dealing with angry or upset people.
