Title : Work-Based Learning Associates
Reports To : SYEP Program Director
Location : DeWitt Clinton High School
Hours : Monday - Friday, 2 : 00 PM – 6 : 00 PM
Salary : $20 per hour
Job Summary :
The Work-Based Learning Associates play a vital role in the seamless operation of the Office of Work-Based Learning. This dynamic position encompasses a wide range of responsibilities, from overseeing the onboarding process for internships to spearheading the production of commercial art and alumni merchandise. Candidates will serve as key collaborators in fostering a professional and efficient environment that supports student success and strengthens alumni connections.
Major Duties :
Document Oversight and Application Management :
Take charge of collecting and managing applications and essential documents for DOE Internship, GSS, SYEP, and WLG programs.
Establish and maintain an efficient, secure filing system for student applications, documents, and program-related records.
Strategic Outreach and Communication :
Lead outreach initiatives through phone calls, emails, text messaging, and in-person classroom visits to connect with stakeholders.
Serve as a liaison between the school, DOE, and CBO staff to ensure streamlined communication and program coordination.
Internship Coordination and Record Management :
Monitor, record, and manage data related to student interns, maintaining accurate and up-to-date records for reporting and compliance.
Provide direct support to internship coordinators, ensuring the success of all program participants.
Intern Supervision
Act as the primary supervisor for a cohort of interns, answering questions, providing guidance, and addressing concerns to ensure a successful internship experience.
Possess comprehensive knowledge of the entire process of becoming an intern, including application, onboarding, and training phases, payroll, ensuring seamless coordination with HR and the SYEP provider.
Serve as the vital link between the internship program and SYEP providers, facilitating communication and resolving any logistical or administrative challenges.
Merchandise Management and Store Operations :
Oversee the management and distribution of merchandise through the school’s “Go Store”, ensuring inventory is accurately tracked and replenished as needed.
Support the processing and fulfillment of merchandise orders, ensuring timely and accurate preparation, packaging, and shipping.
Collaborate with the production team to design, produce, and quality-check uniforms and apparel, including branded hoodies, sweatpants, and t-shirts.
Assist in maintaining the visual presentation of the Go Store to create an inviting and organized shopping experience for students and alumni
- Logistical and Event Support :
Coordinate the transportation and delivery of merchandise boxes, clothing, and apparel for school events and alumni store production, ensuring timely and accurate handling.
Oversee inventory tracking and restocking of supplies to ensure smooth operations for apparel production and event needs.
Event Coordination and Setup :
Assist in organizing and executing school events, including managing setup, breakdown, and the on-site distribution of materials, apparel, and refreshments.
Collaborate with event planners and staff to ensure all logistics are accounted for and executed seamlessly.
Operational Efficiency :
Identify potential logistical challenges and proactively develop solutions to ensure events and production workflows proceed without disruptions.
Maintain a detailed schedule of delivery times, event timelines, and task assignments to optimize resource allocation and staff efficiency.
Qualifications :
Age : Must be 18 years or older.
Education : High school diploma required.
Experience : Candidate Must be Staff Intern Alumni with demonstrated familiarity with the school environment and culture.
Skills :
Proficiency in Microsoft Excel, Word, PowerPoint.
Expertise in the Google platform, including Sheets, Docs, Classroom, Drive.
Advanced skills in Canva for creating designs and poster materials.
Ability to navigate and use HR systems and internship program platforms effectively.
Strong verbal and written communication abilities for outreach, coordination, and team collaboration.
Demonstrated interpersonal skills to effectively supervise interns, answer questions, and resolve conflicts.
Ability to establish and maintain professional relationships with students, staff, vendors, and external partners.
Exceptional organizational skills to manage and track documents, applications, and event logistics.
Attention to detail and accuracy in record-keeping and reporting.
