Summary/Objective
The Warranty Administrator is responsible for managing and overseeing warranty operations across branches, ensuring compliance with manufacturer guidelines, and providing warranty policy training to appropriate branch employees. This role requires strong organizational, analytical, and communication skills to ensure the seamless processing of warranty claims and efficient coordination with manufacturers, customers, and internal teams.
Essential Functions

- Prepare and process warranty documentation in compliance with manufacturer policies.
- Submit equipment warranty registration documentation to OEMs.
- Track and update branches on Product Improvement Programs (PIP) to ensure completion.
- Manage warranty return parts with facilities and staff
- Follow up with manufacturers to track the progress of warranty claims.
- Discuss warranty claims with the Service and Parts departments to set expectations with customers.
- Process and invoice factory warranty claims while maintaining communication with accounting regarding bill credits and service order (SO) status.
- Analyze and evaluate warranty claims to ensure accuracy, validity, and eligibility.
- Maintain accurate warranty records and databases.
- Collaborate with customers, suppliers, and manufacturers to address and resolve warranty-related concerns.
- Generate and present reports on warranty claims and performance metrics.
- Identify opportunities for improving warranty claim processing efficiency.
- Provide leadership, training, and guidance to team members on warranty processes.
- Work closely with customer service, quality assurance, and product development teams to identify and resolve recurring issues.
- Stay updated on warranty-related developments and policies
- Continuously seek process improvements to support business objectives.
Qualifications & Competencies
Required:
- High school diploma or equivalent.
- Prior experience in warranty administration, claims processing, or a related field.
- Strong understanding of warranty policies, regulations, and manufacturer guidelines.
- Ability to interpret and assess technical documentation and specifications.
- Strong computer skills, including proficiency in MS Office.
- Excellent communication and negotiation skills.
- Strong analytical and problem-solving abilities.
- High attention to detail and accuracy.
- Effective time management skills with the ability to meet strict deadlines.
Preferred:
- Experience in administration, accounting, or a related field.
- Experience in service operations or technical support.
Work Environment
- Primarily a professional office setting with occasional travel to other branches.
Physical Demands
- Prolonged periods of sitting at a desk while working on a computer. The role requires the ability to focus on a computer screen for extended durations, perform repetitive hand and wrist movements for typing and data entry
- Occasional driving to complete work-related tasks.
