Summary
The Office Manager is responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency of The Excel Center. Works closely with the Director, Excel network staff, Excel school staff and students to manage and maintain orderly operations for the school.
Essential skills include: language skills, writing skills, reasoning ability and computer skills, including working knowledge of Microsoft Word, Excel, Outlook and the Internet. Position requires strong focus on customer service with a can-do, professional attitude and the ability to prioritize tasks in a fast-paced environment.
Duties
Office Manager
- Participate in administrative leadership meetings
- Manage departmental relationships to coordinate any needed work orders security, housekeeping, maintenance
- Manage bus pass orders and distribution
- Coordinate travel arrangements
- Collect and distribute mail daily
- Ordering, maintaining, and inventory tracking of office equipment and supplies
- Create and maintain staff directory and center calendar
- Acts as a liaison between students, enrollees, families, staff and community partners
- Identify vendors, evaluate services and costs, narrow vendor selection and make appropriate business recommendation
- Collaborate with other Office Managers in The Excel Network to share best practices
Enrollment Coordinator
- Manages enrollment process for new students to include application processing, communication with prospective students, iExcel orientation, troubleshooting, and decision making in accordance with The Excel Center model
- Assist with new student orientation
- Collaborate with Registrars to assist with registration deadlines and collecting paperwork
- Ensure student information system is accurate and up to date
Receptionist
- Responsible for student reception support hiring, mentoring, training
- Greet visitors, provide information requested, route visitors to the appropriate location
- Answer phones, provide information about the schools or direct calls to appropriate person
- Check voicemail and respond to messages in a timely manner
Executive Assistant
- Assist director as needed for items such as research and reports
- Assist with new hire on-boarding for staff
- Manage time sheets
Marketing/ Publicity Assistant
- Maintain Facebook presence
- Assist with development of marketing and promotion materials
- Develop communication sequence for prospective students
- Maintain and update the website as needed
Event Planner
- Coordinate all event planning to include vendor evaluation and selection within budgetary constraints
Coordination of center tours for community
Qualifications
Education
- Bachelor degree or Certified Office Manager not required but preferred
- 3-5 years of office management experience
Qualifications
- Bi-lingual Spanish language skills strongly desired
- Demonstrates a high degree of professionalism and a willingness to make a good first impression

- Demonstrates empathy in difficult situations and uses discretion in sharing information
- Is knowledgeable and informed regarding The Excel Center in order to provide prospective students and visitors with correct and appropriate information

- Ability to gather and analyze data to make informed decisions
- Has working knowledge of computer programs to perform clerical tasks: Google Applications Microsoft Office, Excel, Word and web browsers
