Kapolei Charter School (KCS) is a free public charter school where all students will be welcome to enroll in KCS. KCS will provide customize, meaningful, and alternative educational opportunities to students who may not be successful in the traditional educational system. The school will provide an attractive, flexible learning environment with individualized attention and instruction to ensure all students who enter the school are able to become academically successful. It will be equipped to serve a largely underserved population, working to engage students in their education and provide them with meaningful opportunities to earn a high school diploma and industry certification or college credit to ensure a smooth transition into career success.
Summary :
As the Office Clerk with Kapolei Charter School by Goodwill Hawaii, you will serve as the first point of contact for all of the school’s constituents and will oversee the daily operations and functions of the office. You will support with student academic record keeping, which includes compiling, maintain, and tracking student academic information and records for internal and external analysis and / or use. This position acts as the central records facilitator for permanent academic information on current and prior students. We are looking for someone who is personable and able to clearly communicate school policies and the vision and mission of the organization. In addition, to exemplify our Mission Statement of interrupting generational poverty by providing customized, meaningful, and alternative educational opportunities to students who may not be successful in the traditional educational system.
Essential Duties and Responsibilities : Support registrar / office manager with the following tasks
- Required to be well organized and detail oriented.
- Creating and maintaining a welcoming and efficient front office that emphasizes organization, professionalism, and courtesy
- Serve as the main point of contact in the school reception area
- Manage phones and calendars of school leaders (incoming calls, take messages, schedule meetings, etc.)
- Help maintains documents, files and records (e.g., registration, student files, testing materials, immunization records, etc.) for the purpose of providing up-to-date reference and audit trail
- Help maintain the Student Information System (student attendance, student discipline, grade reporting, basic scheduling, etc.)
- Support and Coordinate grade reporting process, including rolling up, verification and correction of grades, and printing and distribution of report cards.
- Support with recording, tracking and following up on all student tardiness and absences
- Support school partnerships with families and local community organizations for additional student needs, such as after-school programs
- Assist in the coordination of logistics and planning for all school events as requested by school leaders
- Purchase instructional, office and janitorial and maintenance supplies. Solicit and document competitive bids when necessary.
- Receive all packages / mail and conduct verification that orders are complete. Distributes items to appropriate party.
- Help plan and oversee the logistics of all school field trips (trip selection, pre-visit preparation, transportation, follow up, and evaluation)
- Manage school communications and documents archive (e.g., produce letters, memos, and school mailings)
- Serve as the first point of reference for teacher and administrative staff technical support.
- Work with the custodial team to ensure the building is cleaned and all necessary repairs are made in a timely manner.
- Perform other duties, as deemed appropriate, by the School Director.
SUPERVISORY RESPONSIBILITIES
This position holds no supervisory responsibilities.
QUALIFICATIONS

EDUCATION and / or EXPERIENCE
High School Diploma or equivalent; or six months to one-year related experience and / or training; or equivalent combination of education and experience. Experience in the education sector preferred.
LANGUAGE SKILLS
Ability to read and interpret documents related to school administration and procedure manuals. Ability to write routine report, correspond, and input data. Ability to speak effectively and clearly communicate.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
